In Zoho Projects, you have more control over the user profiles by customizing them with access permissions. We have now enhanced the module-level permissions such as view permission for tasks & issues and field-level permissions for tasks.
You can customize user profiles to view only the relevant tasks. For instance, you can customize the manager user profile with permission to view all the tasks while the contractor user profile can view only their related tasks. Moreover, you can customize user profiles with field-level permission for tasks. Let’s see how you can customize the user profiles with these permissions.
View permission for tasks and issues
In the “view” permission for task and issue, there is a new option: Related. When you select Related, the user profile can view their related tasks or issues which are created, assigned, and followed by them. Also, they can view the tasks or issues wherever they are @mentioned in or selected from a user pick list.
Field-level permission for tasks
We now let you customize user profiles with field-level permission for tasks. In the Assign Task permission, you can select if the user profile can pick up the tasks or assign tasks to others. There are two options:
TO SELF: Users can assign tasks to themselves.
TO OTHERS: Users can assign tasks to others.
Moreover, it is based on the edit permission given for tasks. For example, let’s consider that you are customizing an employee’s user profile. If you select “Added” in the Edit permission and “To self” in the Assign Task permission, the employee can assign themselves to the tasks they add or any unassigned tasks, however, they cannot assign those tasks to others.
On top of that, you can customize fields that the user profile can access. For example, if you want only the manager user profiles to update the start date and end date of the tasks, you can select “View/Edit” permission for the Start date, End date, and Duration fields, while for the employee user profile you can select “View only” permission. So that, only managers will be able to update the dates while the employees can’t.
You can set access permissions for both default and custom fields. However, you can hide only the custom fields but not the default fields.
VIEW/EDIT: Users can view or edit the field value.
VIEW ONLY: Users can only view the field.
HIDE: Users cannot view the field.
You can also customize the field permission in one go for all the user profiles in Layouts and Fields. Navigate to task layouts and edit the fields to customize the access permissions for different user profiles.
