Tip #19: Filter projects based on criteria

In Zoho Projects, you can filter your projects based on groups, owners, clients, and custom fields.

Why?

The inbuilt filter will help you quickly access the projects that you are looking for. Based on the selected criteria, the projects are listed in your filter results. You can select the relevant project and access it.  

How?

  1. Navigate to Projects.  
  2. Select any one of the views ( View by Group, View by Client, View by Owner ) in Active Projects.
  3. Click the Filter icon in the upper-right corner.
  4. Select the default fields based on your criteria.
  5. Click Find to filter projects based on the selected criteria.

View by Group - Filter a particular group of projects in your portal.

Use case

User A: I have 90+ projects in my portal and I have grouped 4 projects in 'SAP Phase 3' and 6 in 'ERP Projects', and 4 in 'Implementation'. Now, I want to view only the 6 projects from the group -  ERP Projects.

Solution: Choose View by Group from the drop-down in the upper-left corner to view all the projects that are grouped. To view the projects in the group 'ERP Projects', select it from the Group and view all the projects in it.


View by Client - Filter the client projects in your portal

Use case

User A : I have 90+ client projects in my portal and as an Admin I want to view the projects in the client company - Marvel Studios, Leester Donnelly and Sons, and Nexus - The Language Studio.

Solution: Choose View by Client and multi-select the client companies in the Client field. Now, you can view the list of projects in each client company. Now, you can choose a particular project that you wish to access. Also, you can narrow down your search by selecting the owner and custom fields.


View by Owner - Filter projects by owner

Use case

User A : I have 90+ projects in my portal and as an Admin I want to view only the projects owned by 'Patricia Boyle'.

Solution: Choose View by Owner and start filtering projects based on the owner. You can select Patricia Boyle from the owner's list and fetch all the projects owned by Patricia Boyle. You can also narrow down your search by selecting the custom fields.

 

Filter by Custom Fields

User A: I have 90+ projects in my portal and I have created 3 custom fields - Browser, DRI, and Tester. I have mentioned default values for every field. Now, I want to view the projects based on the custom field - Browser. How can I view it?

Solution: Based on your business requirement, you can create custom fields in your portal and use it in your projects. Know more on custom fields . Now, choose either one of the three views (View by Group, View by Client, or View by Owner) and select the desired values in the custom field 'Browser' and filter the projects.


Can I view all the custom fields in the filter?

Only the custom field with the text fields Picklist and User Picklist are visible in the filter criteria.

        I believe that sorting of tasks helps managing the activities in a better fashion. You might second it too . By default, the tasks are listed chronologically. However, you can sort the tasks either by its title, start date, end date, priority, created by and percentage completion. All you have to do is, click the Task Sorting option and select the required criteria.
