Workflow rules are used for triggering an action when a specific criteria is met. In Zoho Projects, you can create a criteria and perform three actions, updating a field, association a webhook and sending an email.
For instance consider a scenario where John is a project manager and he needs to be notified when a high priority task is created. He creates a workflow rule to check if the task that is newly created has priority set to 'High'. He assigns an action of sending an email to him if this condition is met. When a co-worker creates a new task and sets the priority as high, the workflow rule checks the task and if the condition is met it will automatically triggers an action which in this case is sending an email.

John wants all high priority tasks to be handled by his lead, so he adds another action where the task owner is automatically updated when the rule criteria is matched. In this case, the action is set to update the task owner field value as his lead Monica.
