We're six months into 2019, and as always, we have been bringing in updates each month to provide a better invoicing experience. Read on to know about the enhancements made to Zoho Invoice for the month of July.
Choose SMS template for notification messages
If you have configured SMS notification to notify customers, you can now change the templates of these messages. You can choose from three different templates for each of the SMS notification that you send, based on your business needs.
You can choose from the following three templates:
- Short: Choose this template if you want to keep your messages short and crisp, with minimum details. This template will use up approximately one SMS unit.
- Brief: This is the default template for all the SMS notifications. Choose this template to keep your messages to the point. This template will use up approximately one SMS unit.
- Detailed: Choose this template if you want your SMS notifications to be detailed with all the necessary information. This template will use up approximately two SMS units.
Here's how you can change the SMS templates:
- Go to Settings > SMS Notifications > SMS Templates.
- Click Change Template across the corresponding Notification Type.
- In the pop-up, choose a template of your choice (Short, Brief or Detailed) from the drop down.
- Click Save.
Send payment thank you SMS manually
Acknowledge your customer's prompt payment by sending them a Thank You SMS. To use this feature, you will first have to enable SMS Notifications for Payment Thank-you. In addition to sending out automated Payment Thank you messages, you can now choose to send a manual Thank You SMS for a particular payment too.
To do this: Go to Payments Received > Select a Payment > More > Notify via SMS > Select the contact persons > Send SMS.
Bulk update payment gateway of invoices
Zoho Invoice now lets you save time by updating the invoices’ payment gateway and invoice date at one go. Using the bulk update option, you can now update these fields in the selected invoices. When bulk updating invoices, you can also provide the reason for updating, so that the other users will be aware of why this change was made. They can view this reason under the comments section of the sent invoices.
To do this: Go to Invoices > Select the invoices to be updated > Click Bulk Update > Choose Payment Gateway or Invoice Date as the field to be updated.
Add more texts with multi-line custom field
Custom field lets you add more information to your transactions. When creating a custom field, you can now choose its data type as Text Box (Multi-line). This field can be used to enter larger texts, for example, a note to be shared with the customer regarding the transaction. You can create a maximum of five such multi-line fields for a module.
To create this field: Go to Settings > Preferences > Select the particular module > Field Customization > + New Custom Field > Choose Data Type as Text Box (Multi-line).
Apply tax on shipping charges (UK Edition)
The UK edition users can now apply a tax on the shipping charge. You can add the shipping charge field to your transaction by enabling it under the General Preferences section in the Settings. Also, your business should be VAT registered to levy VAT on shipping charges.
Choose to display usage units in templates
In templates, besides displaying an item's quantity, you can now also choose to display the item's usage units (pcs, box, kg, cm, etc.) as well. This will provide a clearer information to the customers. This option is now available in all the templates.
To do this: Go to Settings > Templates > Select the required module > Click Edit on the template > Item Table > Enable Show Unit option next to Quantity.
