Zoho CRM's Workflow brings minor enhancements

We're excited to share a few updates and enhancements to Zoho CRM's workflows:

Reschedule previously scheduled actions
Date formula fields
New record limits
Only trigger workflows for tasks created via workflows once

Let's dive into each of these updates in detail:

Reschedule previously scheduled actions

Previously, when the scheduled time in a workflow was modified, changes only applied to newly created actions, and actions already in the pipeline couldn’t be rescheduled. However, with the new update, any modifications you make will now automatically apply to all previously scheduled actions.

For example, if you initially set an action to send emails to leads five minutes after they’re added to the Leads module but later decide to change it to two minutes, the new update ensures that this modification is applied to all other scheduled actions as well.

Date formula fields

You can now execute workflow rules based on date formulas.

New record limits

We've revised the record creation limits as follows (please refer to the image below):

These limits apply to any type of record created via automation actions, including activities like adding tasks, adding meetings, and scheduling calls. However, these record limits are not applicable to manually created records.

Only trigger workflows for tasks created via workflows once

Previously, the "on create of a task" trigger only activated for tasks that were manually created, not those generated automatically. The new functionality now triggers workflows for tasks that are created via automation.

If there's a potential for a loop, such as a task being created upon the creation of another task, it will not continue to loop and will halt execution.

Let's say we have two automated workflows. The first workflow is triggered whenever a lead is created and creates a task. The second workflow is triggered by the creation of that task and performs two actions: send an email notification and create a lead record. This setup creates a potential infinite loop. To prevent this, the system now ignores the triggers that are repeated.
