4. Steps to integrate Zoom Meetings
Prerequistie
4.1 Connect Zoom Meetings
- Click the Admin Center icon
in the top right corner of Bookings. Select Video Conferencing under Integrations.

- Click the Zoom card, then click Connect.

- You will be redirected to Zoom's login page. You can sign in or sign up.
- Read through the permissions and click Allow, and then your Zoho Bookings and Zoom account will be connected.
Note:
You can integrate any Zoom account, regardless of whether it uses the same email address as in Bookings. However, for users who will host online meetings, their Bookings email address must be added as users in Zoom as explained in 4.3.4.2 Choose meeting mode in event types
For event types that require to meet through Zoom Meeting, you need to select Zoom Meeting as meeting mode.
- Switch to the required workspace by clicking the workspace name under the Bookings on the top left.
- Click Event Types on the left sidebar, then select the required event type.
- In the Event Type Details tab, click Edit and select Online under Meeting mode and choose Zoom Meeting in the next dropdown.

Perform the above steps for all the required event types. Alternatively, you can also set the meeting mode while creating a new event type.

4.3 Add users to Zoom Meeting
Bookings users must be added as a user in Zoom Meeting to generate meeting links for the respective users' appointments. Refer to this help page on how to add users in Zoom Meeting.
You can integrate more than one video conferencing tool at a time. On the event type settings, you can choose any one of the integrated video conferencing tools.
5. What to expect after integration
After the integration, each time an appointment is booked for the selected event types, a Zoom Meeting link will be generated automatically. Bookings users can access this in the Appointment Summary and also in the email notification(if configured).


Customers can get this link in the email notification(if configured) and in the booking confirmation page.

On accessing the meeting in Zoom Meeting, customer details that were entered in the booking form can be seen under the Description section of Zoom Meeting.
Email notifications that are send to users and customers have a variable %meeting_info% included by default. This adds the meeting link to the email. If you've removed it before while customizing, you can add it by navigating to Insert Variables > Meeting Info in the message editor under Notification Preferences.

6. Disconnect the integration
If Zoom Meeting is not required for the online meetings, you can remove the integration. On disconnecting, meeting links will not be generated for appointments booked. However, links created before disabling will continue to work.
To disconnect:
- Click the Admin Center icon
in the top right corner of Bookings. Select Video Conferencing under Integrations. - Click the Zoom card, then click the Options icon
at the top-right corner. - Select Disconnect. This removes the Zoom Meeting integration.

7. Troubleshooting
Why is the meeting link not being generated even after integrating?
- If the meeting link is not getting generated for the booked appointment, ensure the below:
- Check if the user booked for the appointment is added as a user in Zoom.
- Check if the event type's meeting mode is selected as Zoom Meeting.
- Check if you've connected your Zoom Meeting account properly. Try to connect it again.
8. Points to note
- The choice for Meeting Mode under Event Type Details is retained even when Zoom Meeting integration is disabled and enabled again.
- The booked user can conduct the meeting. The participant(s) can join the meeting and start collaborating.
