Contact Management in Zoho Campaigns

Contacts are the most important part of any marketing business. In Zoho Campaigns, the Contacts section under the Audience module helps you build, organize, and maintain a high-quality contact database for your marketing activities.

Contacts are useful not only for sending email campaigns, but also for building relationships in the long run. If you grow your contacts organically, chances are that you'll be building long-lasting relationships with them.

Managing your contacts is an ongoing process. You need to actively monitor the contacts based on their engagement behavior with your campaigns. By keeping all contact information in one place, you can ensure consistency, accuracy, and better coordination across your marketing efforts.

You can import contacts from various sources such as excel sheets, CSV files and Google spreadsheets and manage them by maintaining the contacts under mailing lists. You can view the contact history to check the number of sent campaigns for a specific contact and the history of that contact pertaining to different lists.

What are the different ways of creating contacts?

In Zoho Campaigns, you can create and manage contacts in multiple ways with ease: 

  1. Manual: You can use the Add Contacts option to manually add individual or multiple contacts. You can add 20 contacts at a time using this method.
  2. Import: If you have a spreadsheet file consisting of contacts, use the Import Contacts option to upload it as .csv, .xls, or .xslx files into Zoho Campaigns to create contacts. Import can be done via file on your computer or cloud.
  3. Sync: Another way of creating contacts is by integrating other Zoho apps (like CRM, Recruit, Bigin) and third-party apps (Salesforce, Shopify, HubSpot) and sync their contacts to Zoho Campaigns.
  4. Signup Forms: Creating signup form in Zoho Campaigns and embedding it in your website allows you to collect contacts organically as they sign up using the form.

  5. Programmatic:
    Using the create contacts API (Application Programming Interface) of Zoho Campaigns, you can create contacts programmatically.

How many contacts can you create?

The number of contacts you can create is dependent on the plan you're in.

There are three pricing plans: Forever Free, Standard, and Professional. In the Standard and Professional plans, the number of allowed contacts depends on the number of marketing contacts you want to purchase.
  1. In the Free plan, you can have a maximum of 2,000 marketing contacts.
  2. In the Standard plan, 100,000 marketing contacts can be created.
  3. In the Professional plan, you can have 500,000 marketing contacts.

Note: You will need to upgrade to the Professional plan from Standard plan if you need more than 100,000 marketing contacts. If you need more than 500,000 marketing contacts, contact us at support@zohocampaigns.com.

Who can create and manage contacts in Zoho Campaigns? 

Zoho Campaigns allows you to add multiple users to your organization and each user can have their own role. It also has default roles pre-created for your ease of use. Added to that, you can also create custom roles with desired permissions. Knowing this, below roles can create and manage contacts:
  1. Admin
  2. WorkSpace Admin
  3. Manager
  4. Custom roles with create contacts permission (unavailable in Free plan) 

What you should know before creating contacts 

When bringing in contacts - either via manual addition or import - to Zoho Campaigns, make sure that:

  1. Your contacts have valid email address
  2. Your contacts have a valid mobile number
  3. You have not purchased contacts or mailing lists
  4. Your contacts have explicitly opted in to receive communications from you
  5. Previously unsubscribed or bounced contacts have been excluded from your import
NotesNote: Zoho Campaigns strongly recommends that you don't purchase contacts or mailing lists as these can contain contacts with invalid, spam trap, or blacklisted email addresses which you can be unaware of. Sending campaigns to such email addresses can result in them performing poorly, suffering spam markings, and your domain being blacklisted–ultimately leading to poor email deliverability.

What you need to know when creating contacts 

Whether you're manually adding or importing contacts, you need to know:

  1. The subscription type they belong to between Marketing and Non-Marketing
  2. The topics they're interested in
  3. The lists they want to be a part of
  4. The country they belong to (while not mandatory, if you're sending SMS or WhatsApp campaigns, this information is vital)
  5. Any tags that you want to associate to them 

Contacts List View and Detailed View Pages

The list view and detailed view are two pages you'll frequently access in the Contacts section while managing your contacts.

What is the list view page?

List view is the page that appears when you access the Contacts section. 

How to access: Navigate to Audience -> Contacts.

This is where you'll see the list of contacts you've created and their details such as name, email address, mobile number, and other details.

What is the detailed view page? 

The detailed view page appears when you click a particular contact from the list view page. 

How to access: Navigate to Audience -> Contacts -> click a particular contact.

In this page you'll be able to view all the details of a particular contact including the campaigns sent, their activities, lists, topics, segments associated, and other details.

How can you view reports on your contacts?

Under the Analytics module, you can access the Contacts report. This will display data such as contact distribution, growth stats, contacts source, and location breakdown of your contacts.
