How to create forms

Before we see how to create different forms, let's look at its availability and who can create them.

Availability

Forms can be created in every pricing plan, including the Forever Free plan of Zoho Campaigns.

Who can create forms?  

Forms can be created by users having the below roles:
  • Admin
  • WorkSpace Admin
  • Manager
  • Editor
  • Any custom role with the Create permission for forms  

How do you create forms?  

Creating your first form

To create the first form:
  1. From the Navigation Toolbar on the left, under Audience, and the Forms module.
  2. Enter the Form Name, if needed choose a List, and click Create Form. Your form will be in the Draft
    status.

  3. Under the form's Configuration tab, you'll configure the Form Details, where you can associate a topic for your form. Choose the lawful basis after selecting the topic.
  4. After your visitors submit the form, they'll be redirected to a thank-you page. If you want to customize it, click the Customize button.
  5. Choose a form type in the right side by clicking it. Depending on your requirement, you can either choose between an embedded form (Compact, Banner, or Long form) or a pop-up form (Standard or Blanket pop-up). Various predefined templates are available for you to choose.
  6. Once you've chosen the template, you can customize it to your needs and save changes.
  7. If you're creating a pop-up form, you can configure Pop-Up Conditions,such as when the pop-up should appear, how it should appear, duration of its appearance, and so on.
  8. After designing the template, if needed, you can make use of advanced form configurations where you can configure:
    • Beacon Tracking - Allows you to include a unique custom tracking text to your website and gain insights on the performance of the form.
    • Push to Zoho CRM - Allows you to push contacts signing up via the form to Zoho CRM.
    • Response Action - Allows you to configure automated after signup actions for the visitors.
  9. Click the Launch button at the top-right corner to launch the form. The form will move to the Active status.
  10. You should see the Form Code tab (for embedded forms) or the Code and Cookie tab (for pop-up forms) at the top. Click it, copy the code, and embed it in your website to complete the creation of a form.

Creating forms

The steps are only different for creating the first form. After that, the subsequent forms will follow the same navigation steps below:
  1. From the Navigation Toolbar on the left, under Audience, click the Forms module.
  2. Click the Create button at the top-right corner.
  3. The form name will be pre-filled at the top. Be sure to change its name by placing cursor inside the name.
  4. Choose a list and a topic.
  5. The rest of the steps will be the same as the steps you used for creating the first form.

  • The form name can have a maximum of 70 characters.
  • There's no limit to the:
    • Number of forms you can create
    • Number of contacts present under a form
  • You can associate only one list and one topic to a form.

What form details should you specify when creating a form?

When you're creating a form, you'll first see the Form Details section.
Here, you can specify:
NotesNote: It is not mandatory to choose a list or topic when creating a form, but we recommend doing so for better organization of your contacts.

How can you customize what visitors see after form submission?

You can do this:
  • When creating a new form
  • After creating the form (if it is in Draft or Active status)

Both of these methods follow the same steps. After launching a form, you can customize what visitors see after form submission under the Configuration tab.

Here's how you can perform the customization:
  1. From the Navigation Toolbar, under Audience, click the Forms module.
  2. Create a new form or click an existing Draft or Active form.
  3. The Form Details section will appear. For an Active form, go to the Configuration tab to see this section.
  4. Under this section, click Customize in the After Submission
    section.

  5. Choose from one of the three options under Choose Response Type:
    1. Thank-you Page - A thank-you page with a message will open thanking your visitors for submitting the form. You can choose to open this page in the Same Tab or New Tab in their browser. You can also customize this page to change its looks.
    2. Redirect to Another URL - You can redirect your visitors to a specific page. Specify the page URL in the URL box. This can also be done in the Same Tab or New Tab in their browser.
    3. Inline Message
      - Show a simple inline message within the form thanking them for signing up.

  6. Once you've done configuring the after submission option, click Save.

What are the pop-up conditions for pop-up forms?

When you create a pop-up form such as a blanket or a standard pop-up, you'll see additional options you can configure under the Pop-up Conditions section. You can click the Edit button at the far-right of this section to set the conditions for your pop-up.

These include:
  • Trigger - The instance at which the form pops up on the website. It has four options, from which you can  choose one or more:
    • Entry - Pops up immediately after you visit the page.
    • Exit - Pops up when you're about to close the page.
    • Scroll - Pops up when you scroll the page for a specific percentage.
    • Specific Time - Pops up at a specific time.
  • Position - Where the pop-up form should be positioned when it appears on the screen.
    • Center
    • Top Left
    • Top Right
    • Bottom Left
    • Bottom Right

  • Animation - The animation the form should use when it appears on the page. There are 12 options, with None as the default.
    • None
    • Slide From Right
    • Slide From Left
    • Bounce In
    • Bounce From Top
    • Bounce From Bottom
    • Fade In
    • Fade From Top
    • Fade From Bottom
    • Flip Vertically
    • Flip Horizontally
    • Zoom In
  • Reappear After - When the pop-up should appear after a visitor closes it voluntarily. It can be:
    • Hours - Choose values between 1 and 24.
    • Days - Choose values between 1 and 31.
    • No Limit - Pop-up appears any number of times.
  • Scroll Depth - Appears when you select Scroll as the trigger option. At what point in the page should the form pop up. You can choose value from 5% of the page till 100% of the page in increments of 5%.
  • Display Delay - Appears when you choose Specific Time as the trigger option. The time delay after which a form should pop up. You can choose the value from 5 seconds up to 60 seconds, in increments of 5 seconds.

Advanced configurations in a form

You need not stop at simply associating list and topic to a form. You can do more by setting up advanced configurations. There are three configurations you can perform:
  • Beacon Tracking
  • Push to Zoho CRM
  • Response Action
We'll see in detail what each configuration does.

1. Beacon Tracking

You can add unique custom tracking text in the webpages or websites where you've published your form. Using the text, you can gain insights on the performance of the form in each of your pages. This is Beacon Tracking under forms. You can find this option under Advanced Configuration

For example, if you add the text “Home” in the code that you'll embed in the homepage of your website, you'll get a tracking script exclusively for your homepage. You can track the conversions from your homepage using the report. 

 

How to add beacon tracking:  

  1. Navigate to Audience -> Forms.
  2. Create a new or click an existing form.
  3. Click the Advanced Configurations section. For an active form, it will be present under the Configurations tab.
  4. Under Beacon Tracking section, click Add Tracking Text.
  5. In the pop-up that appears, specify the text and click Save.
  6. If needed, click the Map Tracking Text to Field option to open a pop-up. Choose a field from the drop-down to map the tracking text to a contact field and Save.
The Map Tracking Text to Field option is used for mapping the tracking text to a contact field and use it for segmenting contacts. This will help you generate reports based on the tracking text.

Alert
You should know:
  1. Beacon tracking is available for Compact, Banner, and Long forms.
  2. Beacon tracking isn't available for pop-up forms.

Other operations on the tracking text: 

You can perform various operations on the tracking text, such as:
  • Editing the existing text
  • Deleting the text
  • Activating or Deactivating the text 
To perform these operations:
  1. Navigate to Audience -> Forms.
  2. Create a new form or click an existing form.
  3. Click the Advanced Configurations section. For an active form it will be present under the Configurations tab.
  4. Under the Beacon Tracking section, click More Actions (3-dotted button) next to the tracking text.
  5. Here, you can choose:
    • Edit - To change the tracking text. In the pop-up that appears, modify the text and click Save.
    • Delete - To delete the tracking text permanently. In the pop-up that appears, click Delete.
    • Activate/Deactivate - To activate or deactivate the tracking text. In the pop-up that appears, click Proceed.

 
How to add multiple tracking text: 

To add more than one tracking text to a form:
  1. Navigate to Audience -> Forms.
  2. Create a new or click an existing form.
  3. Click the Advanced Configurations section. For an active form it will be present under the Configurations tab.
  4. Under the Beacon Tracking section, click Add Tracking Text to add your first tracking text
  5. In the pop-up that appears, specify the text and click Save.
  6. After adding the first one, click the + button present beside it to add the next text and so on.

  • The tracking text can be a maximum of 50 characters.
  • You can add any number of tracking text to a form.

2. Push to Zoho CRM

Using this advanced option, you can push contacts signing up via the forms in Zoho Campaigns to Zoho CRM.
InfoPrerequisite: Zoho Campaigns and Zoho CRM must be integrated. If not, you can integrate when accessing this option in a form and proceed.

How to configure push to Zoho CRM 

  1. Navigate to Audience -> Forms.
  2. Create a new or click an existing form.
  3. Click the Advanced Configurations section. For an active form it will be present under the Configurations tab.
  4. Under the Push to Zoho CRM section, click Setup Zoho CRM.
  5. In the slide-in window that appears:
    • If you haven't integrated Zoho CRM, click the Connect button. You'll be taken to the integration page of Zoho CRM under Settings, where you can complete the integration. Once done, come back to this form and proceed to point 6.
    • If you have integrated Zoho CRM, you'll configure various options which is discussed in point 6.
  6. Click the Action in Zoho CRM button to reveal two options:
    • Update existing contacts only. This action takes place in Zoho CRM. Say you have 10 contacts added via a form to Zoho Campaigns. If these contacts already exist in Zoho CRM (check is done via email address), then based on the field mapping used, these contacts' field will get updated
    • Update existing and push new contacts. Action takes place in Zoho CRM. In addition to updating existing contacts, if contacts that get added to Zoho Campaigns via this form aren't present in Zoho CRM, they will get created as new records there. Choose the desired option and go to the next field.
  7. In the Zoho CRM Module field, choose either Leads or Contacts.
  8. Click the View mapped fields option that appears to view, include, or remove field mapping between Zoho Campaigns and Zoho CRM fields. This tells which contact field's data from Zoho Campaigns syncs to the corresponding module's field of Zoho CRM.
  9. Click the + button to add a new field mapping, then click the trash icon to remove an existing field mapping.
  10. You can enable or disable the Map to Zoho CRM Custom Field toggle below the field mapping. If this is on, you can specify a static value that you can map to a particular custom field of the Contacts or Leads module of Zoho CRM.
  11. Click Save once everything is done.
  12. You can click the More Actions (three-dotted button) at the far right of the Push to Zoho CRM option inside a form to Edit the configuration any time.

Mapping static values to Zoho CRM custom fields 

When you push contacts from a form to Zoho CRM, the data that gets synced is typically what the contact submitted, such as their name, email address, or phone number. The Map to Zoho CRM Custom Field toggle gives you an additional option: sending a fixed, static value of your choice to a custom field in the Contacts or Leads module of Zoho CRM.

This value does not come from the form submission. You define it once, and it gets applied uniformly to every contact pushed from that form.

How to use it 

Enable the toggle below the field mapping section when you first use the Push to Zoho CRM option in a form. Once on, specify the static value you want to send and map it to the relevant custom field in the Contacts or Leads module of Zoho CRM.

Use cases 

Here are some use cases for static value mapping to custom fields of Zoho CRM.
Identify the source form
If you have multiple forms across different pages or campaigns, you can enter the form name as the static value and map it to a custom field like "Sign-up Source" in Zoho CRM. This tells you exactly which form a contact came through, which is useful when contacts from several forms land in the same Zoho CRM module.
Tag contacts by campaign or event
If a form is tied to a specific campaign or event, such as a product launch or a seasonal offer, you can tag every contact from that form with the campaign name. This makes it easier to segment or report on those contacts in CRM later.
Assign a lead source category
You can use this to populate a "Lead Source" custom field with a consistent value like "Website Form" or "Webinar Registration" so your sales team has context on where the lead originated.

3. Response Action

The Response Action option can be used to configure after-signup actions to be done on the contacts who sign up via the form.


How to configure response action

  1. Navigate to Audience -> Forms.
  2. Create a new or click an existing form.
  3. Click the Advanced Configurations section. For an active form it will be present under the Configurations tab.
  4. Under the Response Action section, click Configure.
  5. In the slide-in window that appears, you can configure the response action. In the first field you see, select Signup form submitted. This is the only option available. This indicates the action is performed after the signup form is submitted by a visitor.
  6. In the next field, you can choose the activity to be performed once the form is submitted. After choosing an activity, you need to choose or specify the data in the third field depending on the activity you choose. You can choose from the below activities:
    • Modify Score - Modify the contact score of the contacts. Values range from -50 to 50.
    • Assign Tag - Assign tags to the signed up contacts.
    • Remove Tag - Remove tags from the signed up contacts.
    • Add to List - ATo add the signed up contacts to specific lists.
    • Remove from List - Remove the signed up contacts from specific lists.
    • Update Field - Update a specific contact field for the signed up contacts. You can either update a specific value or clear the value.
    • Add to Workflow - Add a signed-up contact to a specific workflow.
  7. Click the + button to include multiple activities and the trash can icon to delete unneeded activities.
  8. Click Save once everything is done.
  9. You can click More Actions (three-dotted button) at the far right of the Response Action option inside a form to Edit the configuration any time.

 
Response action use cases for signup forms 

When a visitor submits your signup form, you do not have to wait to act on that information. Response actions let you automatically trigger a set of activities the moment a form is submitted, so your contacts are organized, scored, and enrolled in the right workflows without any manual work.

Use case 1: Welcoming new subscribers to an onboarding  workflow

A SaaS company places a signup form on their free trial page. The moment someone submits the form, a response action adds them to a welcome workflow in Zoho Campaigns. This workflow sends a series of onboarding emails over the next two weeks covering product features, tips, and a prompt to upgrade. Alongside this, the contact is assigned a tag called "Trial User" and added to the "Free Trial" list, making it easy to target them with trial-specific campaigns later.

Activities used: Add to Workflow, Assign Tag, Add to List.

Use case 2: Scoring and segmenting leads by interest 

A B2B company runs multiple signup forms, each tied to a different content offer such as a whitepaper, a webinar, or a product demo request. Each form has its own response action. A contact who signs up for the demo request form gets a higher score modification, say +30, compared to someone who signed up for a general newsletter, who gets +10. This way, the sales team can prioritize outreach based on how warm a lead is, without having to manually review each signup.

Activities used: Modify Score, Assign Tag, Add to List.

Use case 3: Replacing a broad list with a more specific one 

An e-commerce brand has a general "All Subscribers" list and a more specific "Sale Alerts" list. They run a signup form during a seasonal sale asking visitors to opt in for exclusive deal updates. When someone submits this form, a response action adds them to the "Sale Alerts" list and removes them from the "All Subscribers" list to avoid sending duplicate campaigns to the same contact. Their contact field for "Preference" is also updated to "Sale Alerts" for future segmentation.

Activities used: Add to List, Remove from List, Update Field.

Use case 4: Routing event registrants into the right post-event follow-up 

An event management company uses a signup form to collect registrations for an upcoming webinar. Once someone registers, a response action assigns the tag "Webinar 2025" and adds them to the webinar-specific workflow, which sends a confirmation email, a reminder the day before, and a recording link after the event. If the contact was previously in a generic "Prospects" list, they are moved out of it since they are now in a more specific nurture track.

Activities used: Assign Tag, Add to Workflow, Remove from List.

Detailed view page of a form

After creating and launching the form, you'll be redirected to the form's detailed view page. On this page, you can view various details of a form, perform actions on it and its contacts, and many more. We'll look at each functionality in detail.

How to access  

Open the detailed view page of a form by accessing the Forms module and clicking a form.

What does the detailed view page contain 

The detailed view can be unofficially split into three sections for a better understanding:
  • Form and its details
  • Preview & More Actions
  • The four tabs

1. Form and its details

This section, present at the top-left corner, displays the basic details of a form, including:
  • Form name, which you can edit by clicking inside it
  • Form creation date and time
  • Form status. Two status are there:
    • Active - Form is in use and active.
    • Draft - Form is yet to be launched. Once it is done, it will move to Active status.
  • User who created the form

2. Preview & More Actions

Preview, as the name indicates, is for previewing the signup form to see how it looks. A new tab will be opened, and you can toggle between how the form looks in computer view and mobile view.
How to access: Navigate to Audience -> Forms module -> click a form -> click Preview at the top-right.

More Actions is the 3-dotted button at the top-right of a form, beside the Preview button. It comprises options that are useful for performing various operations on your segment.

Options Present 

Here are the options available under the More Actions button:
  • Clone. To create a copy of this form. Useful for when you want to have a similar form but only do minor modifications to it.
  • Delete. To delete a form. Once it is deleted, you cannot retrieve it. The contacts who signed up via this form will not be deleted. 

3. The four tabs  

When you click an active form, you'll see four tabs just below the form details section:
  • Overview
  • Contacts
  • Configuration
  • Form Code or Cookie and Code

For a draft form, only the Configuration tab will appear.
Let's look at each tab in detail.

The Overview tab

The Overview tab displays essential statistics of a form in multiple cards. You can get a quick summary of the form by going through this tab. You can filter the stats using date-based filters.

Whenever you click a form to view its details, you will be taken to this tab by default.

How to access: Navigate to Audience -> Forms, then click an active form to access its detailed view and the Overview tab.
Below are the cards you'll see:
  • Form Statistics. Shows the stats of a form, such as the number of visitors. You can view a percentage increase or decrease in the numbers beside each metric. It includes the following metrics:
    • Visits - Total number of visitors who have viewed your form. If a visitor viewed the form twice, both the visits will be counted
    • Interactions - Total number of visitors who have interacted with at least one field in the form
    • Pending Confirmation - Total number of visitors who have submitted the form, but haven't provided their confirmation via the double opt-in email
    • Confirmed Contacts - Total number of contacts added to your Zoho Campaigns organization after confirming via double opt-in
      NotesNote: You can enable double opt-in for your Zoho Campaigns organization under Settings -> Double Opt-in. This is useful if you want to get a confirmation from your contacts whether they're interested in receiving campaigns from you after they sign up.
  • Performance Over Time. Displays a graph on how your form has performed over a period of time. Plotted between Date-Time (X) and Number (Y) for visits, interactions, pending confirmation, and confirmed contacts metrics.
  • Page Based Report. Shows a table containing a list of website URLs in which this form is embedded along with form stats like visits, interactions, pending confirmation, and confirmed contacts metrics. You can sort the table columns by clicking their names.
  • Source Stats. Pie chart of percentages of top five sources from which visitors viewed and signed up to the form such as Social, Direct, Google Ads, Search Engines, and many more.
  • Web Browser Stats. Pie chart of percentages of top five browsers from which contacts signed up to the form such as Firefox, Chrome, Safari.
  • Device Stats. Pie chart of percentages of the three devices using which contacts signed up to the form
  • Location Breakdown. A world map showing from which countries your visitors got converted as contacts for this signup form. This data is derived based on the Country and City data provided for your contacts. You can filter this map to specific country or state.
    • Country Performance: Opens & Clicks - Displays the top five performing countries of contacts signed up to the form.

 
The Contacts tab

The Contacts tab shows the contacts who signed up to the form. This tab will look exactly like the contacts list view page. Not only that, almost all the functionalities and bulk actions you can perform in the contacts list view page can be done in this tab, too.

By default, you'll see the All Active Contacts view. Click this view at the top-left corner to view only the Marketing or Non-Marketing contacts of this form.

To perform bulk actions on the contacts in this form:
  1. Navigate to Audience -> Forms module.
  2. Click an active form to access its detailed view. Click the Contacts tab.
  3. To perform bulk actions, you need to select the contacts and it can be done in three ways depending on what you want:
    • Select specific contacts - Click the checkbox to the left of their email address to select those contacts only.
    • Select all contacts in a page - Click the checkbox next to the Contact Email column to select all the contacts in a page. A maximum of 200 contacts can be selected.
    • Select all contacts in the form - Click the checkbox next to the Contact Email column, and click the Select All option to select more than 200 contacts in the form.
  1. Once you've selected the contacts, click the Actions drop-down option to view all the bulk actions on contacts you can perform. Choose the desired one and proceed updating the contacts. The actions include:
    • Change Subscription Type - Change the subscription type of the selected contacts in this segment.
    • Assign Tags - Assign tags to the contacts.
    • Remove Tags - Remove the assigned tags from the contacts.
    • Add to Lists - Add the contacts to lists.
    • Remove from Lists - Remove contacts from lists.
    • Assign Topics - Assign topics to the contacts.
    • Remove Topics - Remove the assigned topics.
    • Export Contacts - Export the selected contacts of this form.
    • Mass Update - Bulk or mass update a particular field of the selected contacts.
NotesNote: The Contacts tab will appear only for Active forms, which are forms that have been launched. It will not appear for Draft forms. 

The Configuration tab

The Configuration tab allows you to view and reconfigure the form.

How to access: Navigate to Audience -> Forms tab, click an active form to access its detailed view, and click the Configuration tab.

This tab shows what you see when you first create a form where you'll choose the list, topic, lawful basis, form template, and advanced configurations.

If needed, you can edit to change the topic, list, change the template design. If you've created a compact signup form, you can change it to a banner or a long form; if you've created a standard pop-up, you can change it to a blanket pop-up
NotesNote: For a launched form (active form), you can't change the form category itself. If you've created a compact embedded form, you can't change it to a standard pop-up and vice-versa.

The Form Code or Cookie and Code tab

The Form Code or the Cookie and Code tab is an important tab because it allows you to embed the form to your website. Copy the automated code that gets generated as soon as you launch the form and paste it in the source code of your website to embed it.

How to access:
  • Navigate to Audience -> Forms tab -> click an active form to access its detailed view.
  • If your form is:
    • An embedded form, click the Form Code tab.
    • A pop-up form, click the Cookie and Code tab.

 
Form Code tab

This tab appears for embedded signup forms such as banner, long, and compact forms.
There are seven types of code you can use depending on how your website is built:
  • IFrame
  • Website
  • No CSS
  • No Script
  • Raw HTML
  • CMS Tools
    • WordPress
    • Joomla
    • Drupal
  • Form URL & QR Code.
    • Form URL
    • Download QR Code

Simply copy the code using the copy icon present inside of each code or script box and embed it in your website source code.

This tab specifically appears when you are using pop-up forms such as standard and blanket pop-ups. Only one type of code can be copied for pop-up forms and embedded in your website because of the presence of cookie options. You can enable cookie to be embedded in your visitors' browsers based on the actions they take on the pop-up form.
 
The cookie used here is called zc_dis, and it tracks whether a visitor has already seen or closed your pop-up. It stays active for 12 months from the time it is set. Once the cookie expires after 12 months, the next time the same visitor visits the website in which it is embedded, the pop-up will appear again and the cookie will be embedded in their browser.
 
Enabling the cookie means the pop-up will not appear again to a visitor who has already seen or dismissed it. This avoids interrupting the same visitor repeatedly, which can otherwise hurt their experience on your site. Disabling the cookie does the opposite: the pop-up will appear every time the visitor loads the page, regardless of whether they have seen it before.
 
For most use cases, enabling the cookie is the better choice. If you enable it, Zoho Campaigns recommends notifying your website visitors about its usage, typically through a cookie consent notice on your site.
 
Once you have chosen your cookie preference, copy the form code from the Form Code section and embed it in your website to make the pop-up live.

List view page for forms

The list view page for the Forms module can be accessed simply by clicking the Forms module from the navigation toolbar.

Similar to the list view page of contacts, this page displays the basic details of every form you've created in your Zoho Campaigns organization.

Let's explore what you can find and do on this page.

What you can find in the list view page

You can find:
  • Forms along with their details such as:
    • Form Name - The name of the form.
    • Status - The status of a form (Active or Draft).
    • Type - Whether it's a compact, long, banner form, or standard, blanket pop-up.
    • Visits - The number of visits recorded for a form.
    • Interactions - The number of interactions recorded for a form.
    • Conversions - The number of conversions recorded for a form.
    • Last Updated On - The date and time at which the form was last updated.
    • Created By - The user who created the form.

      Except for the Status column, other columns can be sorted in ascending or descending order when you click their names.

Now, let's look at the operations you can perform in the list view page.

How do you create a new form from the list view page?

  1. Navigate to Audience -> Forms module.
  2. Click the Create button at the top-right corner.
  3. Specify a name for the form at the top.
  4. Choose the list, topics, and the type of form.
  5. Choose a template for the form.
  6. Customize the template using our template editor and save the form.

 
What is the use of folders and how can you create one? 

When you access the list view page, you can view the folder option at the top-right. By default, you'll see All Folders and Unclassified.

If you have similar type of forms, you can have them in a single folder and access them without interruptions from other forms. Let's say you want to create a folder to place all the blanket pop-up forms. You can achieve that using folders.

How do you create a folder and move forms?

To create a new folder:
  1. Go to Audience -> Forms module.
  2. Select the forms using checkbox present to the left of each form.
  3. Click the Move to Folder option at the top.
  4. Type the folder name and click the Create button that appears. The folder will be created and the forms will be moved into it.

How do you navigate between folders? 

If you want to move from one folder to another, simply click All Folders or the folder name at the top-right in the list view page, and click the folder name to move to.

How do you edit or delete a folder? 

To edit or delete a folder:
  1. Go to Audience -> Forms module.
  2. Select the forms using checkbox present to the left of each form.
  3. Click the Move to Folder option at the top.
  4. Hover over a folder, then click the More Actions (3-dotted) button. If you click:
    • Edit - Edit the folder name and click Save.
    • Delete - Delete the folder. Click Delete in the pop-up that appears. Only the folder will be deleted, forms will remain intact and be moved to the Unclassified folder.

 
What is the difference between All Folders and Unclassified folder? 

Both All Folders and Unclassified are default folders. They cannot be edited or deleted.

The All Folders folder displays forms present in all the folders including the Unclassified folder whereas the Unclassified folder displays only the forms that aren't present in any folder. If a form is present in a particular folder, it will show up in the All Folders but not in Unclassified. Similarly, if a form is not present in any folder, it will be displayed in All Folders as well as the Unclassified folder.

How can you filter forms? 

If you want to narrow down a particular form or similar forms, you can use the filter option. To do so:
  1. Navigate to Audience -> Forms module.
  2. Click the Filter icon at the top-right corner.
  3. Select a criteria from the available ones such as Name, Status, Type, and many more.
  4. Specify the value or condition based on the criteria you choose and click Apply.
  5. To go back to the list view page, click the 'x' button beside the filter at top-right. 

What is a custom view and how do you create it? 

Custom views can be used to have particular forms in a separate view so you can access them easily. Unlike folders, where you just move forms to specific folders, you can provide specific criteria while creating a custom view to make it more granular and customized.

How do you create a custom view?

To create a custom view:
  1. Navigate to Audience -> Forms module.
  2. Click the More Actions (3-dotted) button at the top left, next to the All Forms view.
  3. Click the Create Custom View option.
  4. Specify the View Name.
  5. Select a criteria from the available ones such as Name, Status, Type, and many more.
  6. Specify the value or condition based on the criteria you choose and click Create View.

The forms will be populated into this view based on your criteria and the custom view should also appear at the top next to the All Lists view.

What actions can be performed on a custom view? 

To perform actions in a custom view:
  1. Navigate to Audience -> Forms module.
  2. Click the More Actions button beside the All Forms or the custom view.
  3. You'll see the custom views you've created here. Hover over a custom view and click the More Actions button.
  4. The actions you can perform include:
    • Pin View - Pin a view at the top so you can access it easily.
    • Edit - Modify the view name and criteria. Once changes are made, click the Update View button.
    • Clone - Clone an existing view.
      Example: If you have a view with a complex criteria and want to create a similar view but change only a single criteria, you can simply clone the existing view, edit the cloned view, and change the criteria. Ensure to change the cloned view's name.
    • Delete - Delete a custom view. Click the Delete button in the pop-up that appears. Once deleted, the view cannot be retrieved.
    • Unpin View - Appears only for a pinned view. Unpin a view from the top bar.

 
What actions can be performed on a form on the list view page? 

You can perform various actions on a form on the list view page such as:
  • Clone - Clone an existing form.
  • Delete - Delete a form.
  • Get Code - Appears only for Active forms. Clicking it will take you to the Form Code tab for an embedded form and the Cookie and Code tab for a pop-up form.
