Tip of the week #17: Share your free/ busy schedule with your colleagues using Zoho Calendar.



The free/ busy sharing option in Zoho Calendar helps an organizer of the event to figure out the best time to host an event. You can enable the free/Busy sharing option for every calendar inside Zoho Calendar separately.

Sharing and managing the free/ busy schedules can be done in following three ways:
  1. Free/ busy consideration - To consider yourselves busy during your non-working hours.
  2. Calendar level free/ busy sharing - To include/ exclude events added to a calendar from your free/busy schedule.
  3. Event level free/ busy sharing - To include/ exclude a particular event from your free/ busy schedule.
  4. Manage and view free/ busy - To view the free/ busy schedule of the attendees of an event while creating an event.

Free/ Busy Consideration

To show yourself busy during non-working hours, turn on the Free/ Busy consideration option in the Calendar preferences settings. This will show up on all of your calendars as being busy during non-working hours. When a host verifies your availability when adding you to an event, you'll be marked busy in your non-working hours. Calendar Level Free/ Busy Sharing

You can add the calendars in the My Calendars section to your free/ busy schedule. This will help you to show yourself busy when an event is created in a particular calendar under the My Calendars section. You can add a calendar to your free/ busy schedule while creating the calendar or by editing the calendar. Event Level Free/ Busy Sharing

You can choose to add/ remove a specific event in your free/ busy schedule. You cannot add an event to the free/ busy schedule if the calendar in which the event is being created is not included in the free/ busy sharing. You should enable the Include in my free/ busy sharing check-box at calendar level to add/ remove an event to/ from your free/ busy schedule. Learn more.


Manage and View Free/ Busy Schedule

When you create an event using Zoho Calendar, you can view the free/ busy schedule of the attendees from within your organization. You can choose a time which will suit all the attendees and create an event accordingly. Learn more.
