My setup, utilizing Zoho CRM Professional edition, manages approximately 1,500 leads across a sales pipeline with five stages: Prospect, Contacted, Qualified, Proposal, and Closed. I configured a workflow rule in Zoho CRM’s Automation section, following the guidelines in the Zoho CRM documentation, to automatically update a lead’s status to “Contacted” when an initial email is sent via Zoho Campaigns integration. The workflow uses a “Record Action” trigger and an “Update Fields” action, targeting the Lead Status field.

During typical operations, with 50–60 lead updates daily, the workflow executes successfully but experiences delays of 5–10 minutes for approximately 10% of updates. I reviewed the Workflow Execution Logs in the CRM’s Automation dashboard, which indicate no errors but confirm the delays. I also verified that API limits and workflow quotas are within the Professional edition’s thresholds, and the Campaigns integration syncs correctly.
