Consent, anonymisation and rights of subjects
Hi,
We use Zoho CRM within our organisation (B2B services company), and currently store details of many prospective sales contacts within the database. Mostly these are company name and address records, but we also store contact records and in many cases don't currently have consent from the data subjects. under GDPR we need to change this and get consent from each contact (before 25th May), otherwise we need to remove the personally identifiable information for those contacts that have not given consent. My questions therefore are as follows:
- Does a consent form exist in the Zoho CRM product? If so can you point me to a user guide?
- Is there a function in Zoho CRM to send a mass mail to our contacts, with a link to a consent form, track the responses, and store a copy of the completed consent form against the contact record?
- Is there a function in Zoho CRM to identify fields containing personally identifiable information? (if so, user guide please)
- Is there a function in Zoho CRM to anonymise contact data (i.e. remove those PII fields as above) on mass, for any contacts that have not given consent for us to collect data?
- What facilities exist within Zoho CRM to satisfy the Rights of the Data Subject (e.g. Right to Access, Right to Rectification, Right to Erasure, etc.)? Can you provide a user guide on these features?
- Is there a mechanism within Zoho CRM to delete data that falls outside of retention period? (User guide please).
