field mapping in the potentials module
Community - how do I map a standard field (stage) to a custom field in the potential module? For example, if the stage = 4, then a visible sub section would populate as "yellow". I do not get STAGE as one of my options to select in the dropdown menu as the parent field when trying to do this mapping (my custom is shoing up however...)
Training Videos?
I am a computer consultant who is just now beginning to be exposed to CRM systems and ZohoCRM. I want to embrace this technology, both for myself as to be able to offer my clients that sort of coverage and support - I have 3 clients that are all about to sign up with ZohoCRM. I learn best by video training - youtube, lynda.com, etc, and it would be ideal if I could be pointed towards in-depth training videos (free or pay) to give me a grounding in CRM for small businesses in general, and using Zoho
removing access to the settings/admin panel in user profile
How can the "Setup" and "Upgrade" entries at the upper right be removed via the user profile? We do not want our users to see these entries in their zoho environment. So far, we did not find any setting option to control this. Thanks for your help.
Synching with iphone app
Which way around does the sych work? If I update my iphone will that over write what is on my computer or is it the other way around? Also, I've noticed that I have written notes in the computer version that doesn't seem to display on my iphone app even after 'fetching' Any ideas? thanks

Moving Fields
I have been using Zoho for a couple of years of more. However, I am stumped when trying t find a way to move a particular field in Accounts. I want the Contact field on the Accounts page to appear before anything else. In other words it should appear directly after the Description field in Accounts. Currently Notes is the first field under Accounts and I cannot find a mapping tool in Customization to change it. Any suggestions? Induna
How to add next step date to the potentials layout?
Hello, the default layout on the home page and on the potentials page shows 'closing date'. I would like to have the 'next step' date in there with the ability to sort according to the related date. I tried editing the layout without success. How to do it? Thanks!
No email alerts coming through since upgrade

Potentials to Account conversion
Hello, Maybe I have been using this CRM wrong... I have been using Potentials as deals that were very possible, did not create a lead for it. Now I want to convert a Potential to an Account, but don't see a way how to do it. I have read that a lead can be converted to an account and can include a potential. Do I have to convert my potentials to leads in order to create accounts? The background of my question is that I do not like the feature of creating an account when creating a lead: An account

Is there currently any level of integration between ZOHO CRM and ZOHO projects ? For example, if a company closed a deal then this closed deal can become a "Project" so that way you can have track of the whole process in one place ? I do not want another "work around" solution, I would like Zoho to have the ability to create a view that would allow me to sort people who either have not received an email, and/or sort by the date the last email was sent. Customize 'Closed Activities' columns on the Account page?
I would like to be able to see the 'call result' information when looking at calls related to an Account. I tried editing the 'Closed Activities' custom view, but it had no effect on the Account page section. Is this possible? Thank you

Simple notifications for Lead / Opportunity assignment and creation
We manage a fairly small number of Leads and Potential and I'm looking for a simple notification system. A. When a Lead or Potential is created, it sends the Lead Owner an e-mail notifying them and providing a link to the record in the CRM. E.g. "You have been recently assigned a new Lead through the CRM. <Click here to view.>" B. Same as above for when the Lead Owner is changed from one user to another. Is it possible to create a quote for a prospect WITHOUT converting them to a Customer?
In our sales process, if we have a prospect who is interested in our service/product, but not yet a customer, I'm finding that you are unable to create a quote for this prospect unless they are converted from Prospect to Customer in Zoho. Further to that, you cannot create a Quote unless you create an Opportunity (Potential)...which is not as big of deal but we really don't want to convert the Prospect to a Customer until they are in fact a customer. Is there a way to just create an opportunity AND/OR
Seperating contacts by product
I have included a multi select function into my account template which basically allows me to attribute different contacts to their associated products (I am a freelancers so have acounts/contacts across a number of products). However, I cannot seem to find a way to sort these and for instance just see/work with those accounts linked to say Product A or Product B. Am I able to select data/accounts based purely upon what product I have linked them to on the multi selcet and if not how do I go about

Thought I would share this work around to access documents in Dropbox using "Links" in ZCRM. In Dropbox I have a client folder for all my leads and contacts that I will drop documents into. They have a static address with the same URL that you can copy into the link "//www.dropbox.com/home/firstname/20lastname" This way in each lead or contact you can click your created link and go directly into the clients Dropbox folder. Now my problem is my limited size on my Dropbox folder. If this helps you
Zoho CRM--making invoices private
I have an "advertising representative" role set up with standard access. I just switched invoices over to private from Read/Write/Delete in Permissions but it doesn't seem to make existing invoices private--anyone within the advertising role can see the other reps invoices. Is this a glitch or am I doing something wrong? Do preexisting invoices not become private?
Is it possible to rename fields?
IE email opt-ou, rather change that to "Receive Marketing". Or Billing State should be Billing Province and so on, is there no way to change it?
Duplicate Tabs
I'd like to run both of the sides of my business separately in the same CRM. Since I'm in the direct selling industry, I have customers and also downline partners/distributors. Is there a way to have leads & accounts for customers and also leads and accounts for partners at the same time but separately?? I know I could view them differently by creating custom views, but I'd like to see tabs at the top that would essentially be duplicating the Leads/Contact/Accounts tabs.

Hyperlinks - bringing up new tab rather than new window as default?
Hi Currently when you click on any of the blue hyperlinks within CRM, a new window is brought up. It can be brought up in a new tab by right-clicking and choosing "Open in New Tab". Notes in CRM - possible to move to top of screen?
Hi Is it possible to move the "notes" section to the top of the Lead, Customer or Contact view? Possibly beside the "business card" fields - i.e to the RHS of the 5 business card fields? Contact Roles and accounts
It is ossible to relate contacts from different accounts to a potential. As such, when looking at it from the contact page, you can also see to which potential they are related. What is missing here, is to be able to see the potentials at account level. That way, when you look at an account you immediately see all related potentials. As it is now, you have to look for the potentials under each contact.
How do I email from Home?
I have a list of overdue tasks in "Home" which are mostly to send a template email. The Leads and Contacts listings are in a different order so not very helpful. Can I send a mass email from "Home"? Peter

Report showing email response time
Hi team, I'm trying to create a report that shows emails sent and received by contacts. I can generate a report showing emails sent TO the contacts, but it doesnt show the emails received by them. My end goal is to measure the response time from when an email is received till when it is replied to. So ideally I would have columns showing received time, responded time, and the time difference between the two. Is it possible to do this? Any help would be greatly appreciated.

Report scheduler XLS file not opening with Blackberry
I am sending the report scheduler file to an external email address, however, the file cannot be opened on her blackberry. The message is Document Conversation has been failed. Does anyone know what this is or why it does not open? Other XLS files can be opened on the blackberry.
