Exhibiting at an event - Zoho Backstage

Access Exhibitor Space

Your Exhibitor Space can be found on the event website. Set up this page with your company's details which will be displayed to website visitors.


  1. Sign in to the event website using the registered email address. 
  2. Click the user avatar on the top-right corner.

  3. Click the Manage booth option in the resulting menu.
  4. Click the Overview tab. Here you can see the following details:
    1. Booth profile: Your brand or company's name that is exhibiting
    2. Booth members: Number of booth members you can invite based on the exhibitor passes allowed for your booth.
    3. Meeting count: Meetings you have held.
    4. Leads: Leads who have shared their contact information or those that you have added.
  5. Click the Booth information tab. Here you can update more information about your brand or company which will be displayed to attendees on the event microsite.
    1. Modify your company's logo if necessary.
    2. Click the Upload link under Banner image section to add a banner for your page.
    3. Add more information about your company.
    4. Click the Save and publish button to update any changes you've made to the live event microsite.
  6. Click the Booth background tab and select from the list of default options or upload your own background for the booth. You can also change this inside the Virtual Space when you meet with visitors.

Upload collaterals

Upload necessary collateral in your Exhibitor Space so that it can be viewed by booth visitors.
 

To add a video


 
  1. Click the Booth materials tab in the Manage Booth page on the event microsite.
  2. Click the Add video URL link in the Videos section. The Add video pop-up will appear.
  3. Enter a title for the video.
  4. Enter the video URL. A thumbnail of the video will be displayed in the Preview section.
  5. Click the Add button.
 

Add collaterals


 
  1. Click the Booth materials tab in the Manage Booth page on the event microsite.
  2. Click the Upload collateral link in the Collaterals section. The Add collateral pop-up will appear.
  3. Enter a title for the file.
  4. Upload the file.
    Note: Click the Change link if you want to pick a different file.
  5. Click Add.

Note: Video and collateral files can be uploaded based on the permissions provided to you by the event organizer for your booth.

Managing booth members

Add more exhibitors as members in the booth to help during the event day. Manage the booth member list

Invite booth members

Send invites to exhibitors to join your exhibiting team.
 


  1. Click the Booth members tab in the Manage Booth page in the event microsite.
  2. Click the Invite member button. The Invite booth member pop-up will display.
  3. Enter the email address of the person you want to add as a booth member.
  4. Click Invite.
  5. Reinvite the book member, if needed.
    1. Click the menu icon for an invited member and select the Reinvite option.

Note:
  1. The number of exhibitor passes you receive will depend on what the event organizer has provided for your booth. The number of booth members you can add is based on the number of exhibitor passes you have.
  2. Only the primary exhibitor has the option to invite other booth members.

Assign booth member as admin

Provide admin privileges to another booth member when you are the current booth admin or booth owner. You can do this to transfer admin permissions at any time or when you want to leave the booth.



  1. Click the Booth members tab in the Manage Booth page on the event microsite.
  2. Click the menu icon for a booth member and click the Assign as admin option. 

Remove booth members

Remove booth access from members by deleting them.


 
  1. Click the Booth members tab in the Manage Booth page on the event microsite.
  2. Click the menu icon for a booth member and select the Remove option. The Delete booth member dialog box will display.
  3. Click the Delete member button.

Note:
  1. You can only remove booth members if you are the primary exhibitor.
  2. Removed members won't be able to access the booth or join any meetings in it.

Leave a booth

Leave the booth if you no longer want to exhibit in that booth. When you leave a booth you must nominate someone else to be the new owner of the booth.



  1. Click the Booth members tab in the Manage Booth page on the event microsite.
  2. Click the Leave link near your name. The Leave booth dialog box will display.
  3. Assign a new owner
    1. If the booth already has other members, select the new owner of the booth from the New booth owner dropdown.
    2. If the booth has no members, enter the details of the new owner in the respective fields.
  4. Click the Assign and leave button.

Note: If you leave the booth, you will not be able to access the booth, manage leads, or access any collaterals, if available.

Add and view leads

When you conduct meetings in your booth, booth visitors from those meetings will be added as leads in the Leads tab under the Manage booth page on the event microsite.

Leads can also be added from other sources in the following ways:
  1. Added by exhibitors: Manually add leads by clicking the Add lead button in the Leads tab when an interested attendee who could be a prospective lead engages with your exhibiting team at your booth.
  2. Contact shared by lead: This is when an attendee views your page on the microsite and clicks the Share your contact button to get in touch with someone from your team.
  3. Scanned via QR code - Scan a booth visitor's QR code from their badge or ticket to add them as a lead.



Access your leads at any time from the Leads tab and get in touch with them after the event. Click the View button next to a lead to see more details about the lead, including the lead's source. Leads can also be downloaded and sorted by using the options at the top of the page.

Note: Leads can only be added if it is enabled for your exhibitor category.
