Prerequisites for badge printing

Ensure your system is set up correctly for badge printing by verifying printer compatibility, installing necessary drivers, preparing badge templates, and configuring the printing software. This preparation will help guarantee smooth and efficient badge printing at your event.

Printer Setup

Ensure you have a compatible printer (Ink-jet, direct thermal, or thermal transfer).
Verify the printer’s power cord is securely plugged in and the power is on.
Confirm all printer components (ribbons, sensors, print heads) are clean and properly assembled.

Printer Drivers

Install the latest printer drivers compatible with your operating system (Windows, macOS, etc.).
Verify the drivers are correctly installed and the printer is recognized by the system.

Network Connectivity

For wired connections, have network cables ready to connect the printer and check-in devices to the router.
For wireless connections, ensure the printer and check-in devices are connected to the same WiFi network.
For Bluetooth connections, ensure both the printer and check-in device have Bluetooth enabled and are paired correctly.

Badge Media

Have the appropriate badge labels or card stock ready for printing.
Ensure the media size and type are compatible with your printer and properly configured in the printer settings.

Check-in Device Setup

Ensure the check-in device (laptop, tablet, or smartphone) is ready and has the Zoho Backstage app installed, if required.
Verify the badge templates are created and saved in the Backstage portal.

Event Day Preparation

Verify all participants’ badge information is correctly entered in the Zoho Backstage portal.
Ensure any special badge requirements (e.g., VIP badges, speaker badges) are configured and ready for printing.
Please verify that the appropriate individuals are being granted the correct access permissions. This ensures that everyone has the access they need and prevents unauthorized access.
Please test all badge printing setups in advance to avoid any issues during the event.

Backup Plan

Have a contingency plan in place in case of printer malfunctions, such as a backup printer or printed badges.
Ensure you have access to technical support or have troubleshooting guides handy for quick resolution of any issues.
