Setting up emails - Zoho Backstage

Master Template

Zoho Backstage saves you time by automating your email communications or enabling you to schedule them in prior. Maintain your relationship with the audience by editing any of the personalized email templates or creating your own.

Common email settings

Manage settings that pertain to all events sent for your event.

Create master template

Set up a standard design that will translate to all the email templates by creating a master template to design and send out consistent emails. The design in the master template will include the top bar, header, and footer that appears in all event emails sent from Backstage.


  1. Go to Communicate > Emails from the dock.

  2. Expand the Preferences section in the left pane.
  3. Click the Master Template tab. A preview of the master template you have designed will be displayed on the right pane.
  4. Click the Edit Master Template link.
  5. Click the Content tab in the left pane.
    1. Add content blocks or elements to the template by clicking and dragging them from the left pane to Email Design area in the right pane.
    2. Edit information in each content block or element, if necessary.
  6. Click the Page Style tab in the left pane. The settings from the master template will be applied here.
    1. Expand the Top Bar section and click the Edit Top Bar button to modify it.
    2. Expand the Header & Footer Bar section and click the Edit Header or Edit Footer button to modify it.
    3. Expand the Outer Theme section and click the Edit Outer Theme button to modify it.
      Note: Editing the Top BarHeader & Footer Bar, and Outer Theme of the email template will disconnect it from the master template. This means that any changes made to the master template will not be synced with the email template after that.
  7. Click the Preview link in the Email Design area to see how your master template will appear.
  8. Click the Save Template button.
    1. Alternatively, click the Close button to exit without saving any changes.
Note: The design set up in the Master Template can be changed for individual templates, if needed. Editing these settings for individual templates will disconnect the template from the master template. Any changes done to the master template will not reflect in the disconnected email template.

Pause all emails   

Manage whether all emails under the automated, reminders, and scheduled section are set to be sent for your event.
 
 
  1. Go to Communicate > Emails from the dock

  2. Expand the Preferences section in the left pane.
  3. Click the Sending Options tab.
  4. Disable the Send All Emails toggle.

  5. The Pause All Emails alert pop-up appears. Click Pause Emails.

Adding elements and content blocks

Include content blocks that generate content instantly or elements to build your email quickly. Click and drag elements to the design of your master template design or any automated emails and modify it to fit your needs.

 
  1. Click the Content tab and drag a content block from the left pane to the Email Design area in the right pane.
    1. Use the   icon to reposition it.
    2. Use the   icon to replicate it.
    3. Use the   icon to remove it.
  2. Access and modify each item's display properties by clicking it. A new pane with options to change properties of the selected item will display in the right.

Text



  1. Click and drag the Text option to the Email Design area.
  2. Add text.
  3. Change properties like alignment, background color, padding, and more.
Note: Placeholders show information dynamically, and can be added in your emails. Enter two curly brackets in any text area to open a dropdown menu with options you can select. For example, if you want to include the event name in the email select the {{eventName}} option from the dropdown menu. This will automatically display the name of your event in the email when it is sent.

Image


  1. Click and drag the Image option to the Email Design area. An image placeholder will be displayed.
  2. Click the Upload Image link in the image placeholder or in the Image properties panel to add an image.
  3. Change properties for the image, such as alignment, size, links, background color, and more.

Title with Image  


  1. Click and drag the Title with Image option to the Email Design area. An image placeholder with a text space will be displayed.
  2. Click the image placeholder in the email template or the Upload Image link in the Image Properties panel to add an image.
  3. Change properties for the image, such as alignment, size, links, background color, and more.
  4. Enter text.
  5. Change properties like background color, padding, and more.

Button


  1. Click and drag the Button option to the Email design area.
  2. Change properties for the button design, color, shape, and more.

Image with CTA


  1. Click and drag the Image with CTA option to the Email Design area. An image placeholder, text lines, and a button will be displayed.
  2. Click the Upload image link in the image placeholder or in the Image Properties panel to add an image.
  3. Change properties for the image, such as alignment, size, links, background color, and more.

Column


  1. Click the Column option.
  2. Click and drag an option in the resulting panel based on the type of content you want to add.
  3. Upload images or add text as necessary.

Divider



Add a separator in your email by clicking and dragging the Divider option to the Email Design area.

Spacer



  1. Click and drag the Spacer option to the Email Design area.
  2. Change the size and color of the space.

Apps Widget



  1. Click and drag the Apps Widget option to the Email Design area. Links to download the Android and iOS apps you have for your event will be displayed.
  2. Change properties for the apps widget block such as alignment, size, links, background color, and more.

Social Widget



  1. Click and drag the Social Widget option to the Email Design area.
  2. Click the Links tab in the right pane.
    1. Add your links to social media for the event.
    2. Click the icon for any item and drag to rearrange the social links.
    3. Click the icon for any item to delete it.
    4. Click the Add More button to include more links.
  3. Click the Design tab.
    1. Change properties for social links, such as alignment, size, background color, and more.

People Widget



  1. Click the People Widget option.
  2. Click an option in the resulting panel based on the type of people you want to list in your email and drag it to the Email design area.
  3. Click the Manage tab in the right pane.
    1. Click the icon for any item and drag to rearrange the social links.
    2. Click the icon for any item to delete it.
  4. Click the Customize tab in the right pane.
    1. Change properties for the widget, such as alignment, background color, item color, border options, and more.

Exhibitors


 
  1. Click and drag the Exhibitors option to the Email design area.
  2. Click the Manage tab in the right pane.
    1. Click the icon for any item and drag to rearrange exhibitors.
    2. Click the icon for any item to delete it.
  3. Click the Customize tab in the right pane.
    1. Change properties for the widget, such as alignment, background color, item color, border options, and more.
Note: This block can only be used if you have exhibitors in your event.

Sponsors



  1. Click and drag the Sponsors option to the Email design area.
  2. Click the Manage tab in the right pane.
    1. Click the icon for any item and drag to rearrange sponsors.
    2. Click the icon for any item to delete it.
  3. Click the Customize tab in the right pane.
    1. Change properties for the widget such as alignment, background color, item color, border options, and more.
Note: This block can only be added if you have sponsors in your event.

QR code


 
  1. Click and drag the QR code option to the Email design area.
  2. Select the Text toggle to include text with your QR code.
    Note: The QR code toggle will be selected by default and can't be deselected.
  3. Change properties for the code, such as selecting or deselecting elements, image size, background color, and more.
  4. Click Done. The code can be scanned from event particpant's emails to fetch the details associated with it.

Other widgets


 
  1. Click the Others widget option. Widgets that provide more information to the email recipients will be displayed.
  2. Click and drag an option in the resulting panel to the Email design area.
  3. Change properties for the widget, such as background color, border options, and more.
Depending on the email recipient, the following additional widgets will be available in the Other widgets option:
  1. Ticket details
  2. Ticket assignee details
  3. Order details
  4. Order summary
  5. Order canceled
  6. Promotional code details
  7. Sponsor details
  8. Exhibitor details
Note: This option is only available for automated emails.
