Let’s take a look at the new features and enhancements that went live across all Workplace applications for the month of January.
Zoho Mail
Notification emails from Zoho People can now be viewed directly in your Zoho Mail preview pane in Zoho People format, making it easier to stay updated.
Choose how the email header appears in the reply email — either in a Compact single-line layout or in the Full header layout as shown in the original message.
The Add to filter pop-up in email preview has been enhanced. You can now view view all filters that have been created along with the option to sort and check whether the new condition matches any existing filter conditions.
Quickly summarize content in Shared Mailbox and Streams using the Summarize feature with Zia for Mail.
Verifying your domain ownership just got easier. Admins can now directly log in to BigRock DNS provider’s page from Admin Console when your domain is hosted with BigRock.
Admins can now import users and groups from Google Workspace and Microsoft 365 using custom selection criteria.
Incoming/outgoing rules and smart incoming/outgoing alerts are now moved to Mail Settings under Admin Console.
Login tracking just got better. You can now view device details and session status like active/inactive from the users’ login history page from the Admin Console.
Zoho Calendar
We’ve introduced Resource Booking on the Zoho Calendar mobile app to help you manage and book resources effortlessly on the go.

- Room availability – View up-to-date room availability based on location.
- Location Switching & Filters – Switch locations and apply filters to find available rooms faster.
- QR code booking – Scan QR codes to book meeting rooms instantly.

Update now and manage your resources anytime, anywhere!
You can now set your availability as Free, Busy, Tentative, or Remote while creating an event, helping others understand your status at a glance and enabling clearer scheduling.
Zia for Calendar helps you create events using natural language, generate smart event titles and descriptions, and simplify event creation directly within Zoho Calendar.
Zoho Cliq
With Zendesk integration in Cliq, you can now get:
- AI-generated summaries for your tickets and reports.
- Customize bot notifications to stay informed only about the events that matter.
- Access detailed, filterable ticket reports with insights into satisfaction rates, user-specific monthly ticket graph, and group-level ticket reports.
Zoho Connect
Admins can now view and control how storage is used across the network. This helps track storage consumption, limit usage, and understand where space is going.
When you want to @mention a group wall/company wall, instead of the wall name, simply type @all to notify all members at once. This is perfect for important updates that shouldn’t be missed.
As a admin, you can now decide who can create specific post types like Questions, Ideas, and Polls.
Zoho Sheet
Zoho Sheet now allows you to create forms, manage, and share them within your organization or externally. All of the responses are collected in real time in your spreadsheets, organized, and ready for further analysis.
Zoho Trident
Organization admins using Trident can now review and act on quarantined emails directly within Trident. From the quarantined email notification, admins can choose to deliver the email to the intended recipient after reviewing it. (Available on Mac and Windows)
When you receive emails with malicious content, or if any user spams you repeatedly or seems untrustworthy, you can choose to block and reject all future emails from that sender. This will move the current email to the Spam folder and bounce all future emails from the sender back to them. (Available on Mac only)
Tracking or spy pixels can pick up on your private data, such as when and where you read the email, IP address, and more, to report it back to the sender. Trident can now automatically detect emails containing spy pixels and display a warning. (Available on Mac only)
A warning message is now displayed in the following cases to protect users against malicious content and phishing attempts.
- Sending and receiving emails from people outside an organization.
- Receiving emails from unverified domains or senders. (Available on macOS only)
- Receiving emails from a new email address for the first time.
- Receiving emails with suspicious URLs.

You can now view and access shared mailboxes in Trident, which are
created in the Zoho Mail web app. This enables collaborative email management, allowing multiple team members to access and respond to emails without flooding individual inboxes. (Available on Mac and Windows)
Zoho WorkDrive
Employees often spend a significant part of their workweek searching for the right files. File Suggestions helps reduce that effort by anticipating what you need and surfacing the most relevant files instantly.
The feature studies your activity patterns, access history, and team interactions to recommend files you have recently accessed, frequently worked on, or commonly use, along with files your team engages with regularly. You can explore all these smart recommendations anytime from the File Suggestions tab in the left panel.
Zoho WorkDrive is now integrated with
Zoho MCP (Model Context Protocol), a new service that connects your apps and AI agents to automate complex workflows with a single prompt. By setting up your MCP server, you can link WorkDrive with more than 950 Zoho and third-party applications, allowing AI agents like Claude, OpenAI, Copilot, or Cursor to perform multi-step actions across apps.
Once configured, Zoho MCP enables AI agents to understand context and execute multi-step actions automatically.
For example, by typing a prompt like:
"Move ‘Finalised Presentation.ppt’ to the Approved Presentations folder in WorkDrive and share it with {user_email} with a natural language message."
Your agent will move the file to the specified folder in WorkDrive, share it with the intended recipient, and include a natural language message, all triggered by a single instruction. No manual steps, no app switching, and no coding required.
Finding specific details inside lengthy documents can often be time-consuming. With Zia, you no longer need to scroll through pages or use keyword searches to locate what you need. You can now ask questions directly within your files and get instant answers drawn from the file’s content.
Open any
supported file in Preview mode, click the Zia icon in the right pane, and select Ask questions from this file. Type your query, such as “List the sales numbers from this report”, and Zia will display the exact answer along with the relevant context.

WorkDrive’s File Summarization now goes beyond documents, spreadsheets, images, and presentations to include audio and video files. With this enhancement, Zia can automatically transcribe and summarize media content, giving you quick insights without the need to replay lengthy recordings.
WorkDrive Workflows now support external users, making it easier to collaborate on structured processes with clients, vendors, or partners outside your organization. You can now assign tasks such as reviews or approvals to external participants directly within a workflow, ensuring seamless coordination across teams. Earlier, workflows were limited to internal team members.
Along with this update, client users can now trigger automatic workflows. Previously, they could only start manual workflows and perform transitions.

You can now archive Team Folders that are no longer in active use but may be needed later. Archiving helps teams keep their workspace organized without losing access to important data. Once a Team Folder is archived, no users can access its files or folders, but all data, structure, and sharing permissions remain intact.
Zoho Workplace customers can now enhance their WorkDrive experience by purchasing Client User subscriptions and Feature Add-ons. As WorkDrive is included in the Workplace bundle, these add-ons make it simple to bring in external collaborators and enable advanced features whenever your team needs them.
Team admins can enable or restrict editing of non-Zoho file formats using Zoho Editors, giving organizations complete control over how files are edited within WorkDrive.
We’ve redesigned the Admin Dashboard to give admins clearer visibility into plan details, storage usage, and key activity insights. You’ll receive automatic storage alerts as capacity nears its limit, helping you stay ahead of potential disruptions and keep your team working without interruption.
