If a Sales Order is created in CRM you can leave a note on the record or add tasks within the CRM.
But if we use Zoho Finance (CRM / Books integration) how can we get that CRM record id from within Books?
Standard CRM Scenario (without Zoho Finance Integration)
- A sales order is created (in CRM using native module)
- We use automation to assign out related tasks based on sales order items using the salesorders Id
CRM Scenario with Zoho Finance
- A sales order is created (in CRM using zoho finance module)
- We want to run a workflow and assign tasks to the zoho finance record in the CRM
- But you can't run CRM workflows on the Finance Module so lets do it using books instead but...
- We can't do it in books with because the related CRM record id isn't provided
- So no task automation is possible
Books Scenario with Zoho Finance
- A sales order is created in Zoho Books
- We want to run a workflow and assign tasks to the zoho finance record in the CRM but...
- We can't because the related CRM record id isn't provided
- So no task automation is possible
The Problem
- We need to be able to associate the Books record Id to a CRM record Id.
- Because you can't run workflows on Zoho Finance within CRM you need to run functions within books
- but the related CRM record id is not provided
CRM -> Books Scenario Workaround:
- Implement a Custom Button to grab the record id and pass across in custom field when the record is created in Zoho Finance module of CRM
UPDATE:
I also ended up implementing a custom function on the books side to search the CRM Finance module for the order number and grabbed the record id that way. This solved the issue of users not using the Custom Button.
