Zoho CRM now allows you to take your beautifully designed Canvas layouts from screen to paper with the Canvas Print View feature. Whether you need shipping labels, personalized forms, or printed records, this feature gives you full control to customize and print CRM data directly with no exporting or no switching tools.
What is Canvas Print View?
Canvas Print View enables you to transform custom layouts into print-ready documents using data directly from your CRM modules. You can:
- Print a single record, multiple selected records, or an entire module’s data
- Create mailing label layouts in Canvas and make them print ready
- Print on standard paper sizes such as A4 or Letter
- Add cutting lines for easy physical separation of content
- Save time and reduce manual errors without leaving your CRM
What Can You Print?
Canvas Print View supports printing of:
- Mailing labels
- Custom record layouts (e.g., forms, certificates, letters, Resume, Event feedback forms, ID cards, etc)
- Any custom layout designed in Canvas

Scenario 1: Printing Shipping Labels
Imagine you’re running a shipping or courier service, and you manage all your customer data within Zoho CRM. Your team needs to generate address labels for daily deliveries. You can use the print view to :
- Create a custom mailing label layout using Canvas and get customer contact details automatically from your contact module
- Generate a clean, printable sheet of mailing labels
- Choose to display cutting lines to guide label separation
- Finally, print them out on standard paper sizes like A4, Letter from your selected module
- And, Voila! Your team now has all the address labels they need for daily deliveries.

Say, you run an automobile service centre, and you use Zoho CRM to track customer vehicles, service requests, complaints, and repair details. After completing a repair job, the technician updates the service record in CRM with details such as the vehicle model, service type, parts replaced, labour cost, and total cost.
Using the Print View feature in Canvas, the service centre generates a Service Report that includes:
- Customer name, email, and phone number
- Service number and Service date
- Vehicle Name, Complaint, and Feedback
Now, you can hand this printed report to the customer as proof of service where both the technician and the customer can be signed for acknowledgment and stored in the customer’s file as part of their service history. This is any day better than giving customers a rough invoice or verbal update, and encourages repeat visits for future services.

Scenario 3 : Printing Course Sheets
Let's say Julia Masons is an academic organizer, and she has to distribute the course sheets to students joining her training institute for the new academic year. She uses Zoho CRM to manage her business. With print view, she can :
- Create a course sheet layout using Canvas and insert academic details automatically from her courses module.
- Generate a printable sheet with all the course information
- Choose to print them out on A4 or Letter paper size
- Now, her course sheets are ready without having to create anything from scratch.
Other examples where you can use this feature
Similarly, you can use the Print View feature of Canvas to create printable sheets for other scenarios, such as :
- Create academic course sheets, promotion letters and more automatically from the courses module,

- Resume, id card, or other identification forms for marketing activities or related events,

- Certificates, contracts, agreements, or guarantees that need to be manually attested by customers

Customization Options for Mailing labels
Canvas Print View offers a wide range of customization options to help you design exactly what you need. The options available for printing mailing labels are :
- Paper Sizes: Choose from Mailing Label formats based on your printing needs
- Orientation: Switch between Portrait or Landscape mode to suit your layout design
- Margins: Define precise margins for your printout or apply the same margin on all sides with a single click
- Print record in : Choose to print the mailing labels per page or in a list or in a Grid.
- To print mailing labels per page, users can choose the same margin for all sides and align centre options.
- To print mailing labels in a list, users can choose the same margin for all sides, align centre, and cutting lines options.
- To print mailing labels in a grid, users can choose the same margin for all sides, align centre, auto width, and cutting lines options.
Note :
- Align Center: Aligns your content to the centre of the page or adjust freely
- Auto Width: Enable this setting to fit content dynamically within the layout
- Cutting Lines: Add visible cutting guides to clearly separate labels or sections on the page
The customization options available for printing information in A4 or Letter paper sizes are :
- Margins: Define precise margins for your printout or apply the same margin on all sides with a single click.
- Print record in : Choose to print the information per page or in a list.
- To print information per page, users can only choose to apply the same margin for all sides.
- To print mailing labels in a list, users can choose to apply the same margin for all sides and enable cutting lines to guide separation.
How to use this feature?
To create print ready layouts in Canvas:
- Navigate to the Setup menu and click Canvas under Customization.
- Choose the Print View option and click Create Print Template.

- Select your module, view type, paper size, and orientation, and click Create.

- Paper sizes include : A4, Letter or Mailing labels and Orientation would be Portrait or Landscape.


- Add relevant components and data elements to create your print layout.
- Apply relevant print and formatting settings.
- Enter the Canvas name and click Save.

To print individual records or selected records :
- Navigate to the module whose records you want to print.
- Select the record or a few records that you want to print.
- Click the Action button above and select Print using Canvas option.

- Apply relevant print and formatting settings.
- Click Print.

To print an entire module's record data :
- Navigate to the module whose records you want to print.
- Click Action on the top-right corner, select the Print option at the bottom, and click Print Using Canvas.

- Apply relevant print and formatting settings.

- Click Print.
