Steps to add CSV-as-a-source to Zoho One
Write to support@zohoone.com about your need for this sync tool. We will assist you in downloading the tool on your device.
Once the file is downloaded, go to its location.
Open the file named SyncTool.exe, which you can find in the installation path. After opening the tool, go to Zoho Sign-in.
Click Sign-in as admin.
Click the adjacent to the Login URL to copy it. Note down the Verification Code, as you may need to enter it manually in the later steps.
Open a browser, paste the copied Login URL in the search bar. You'll be asked to sign in to your Zoho One account if you haven't done so beforehand.
Enter the Verification Code when prompted, then click Verify.
Click Accept to allow Zoho One to access necessary information. Shortly after accepting, you'll be signed in to the Sync Tool.
Go to CSV Configuration, then enter the location or path of the folder that contains the CSV files you want to sync. Make sure the path is accurate, else the sync would end up unsuccessful.
Unique identifier: Select a value for this field. Note that it has to be distinct for every user in the CSV file, and should not be changed later. In case this value is modified later, it will be treated as a new user.
Deleted Users Identifier: Users with a value provided for the "Deleted Identifier Value" column will be disabled and not taken up for syncing.
Deleted Identifier Value: If you want to disable the users who have a particular value in the 'Deleted Users Identifier' column, you can enter that value in the next field. For example, if the deleted identifier value of "User Status" is set to be "Inactive", then the users with this value will be disabled.
Click Add, then click Next.
On the Attributes screen, map the attributes available in your CSV files to those in Zoho One. Click Next.
On the Sync Settings screen, enter a password in the Default Password field. This will be set as the OTP for the users for their first log-in, after which they can reset their password.
User settings: Choose if the users marked disabled in the CSV file should also be disabled in Zoho One.
Create CSV Group: If you check this option, a group will be created in your organization with all the synced users in it. The group's name will be in the format "{portal_name} - CSV users." For example, "Zylker Corp - CSV users."
Sync email address deletion: Choose if you want to overwrite the existing data with the new change, whenever it's edited in the CSV file.
Schedule Sync screen: You can enable periodic syncing and define the frequency at which you want it.
Reports: You can look at the last sync history, with the name, email, and update status of each user in the CSV files.
Configure other settings that include: Mail Notification: Allow an email to be sent to you with the details of sync every time. Proxy configuration - Set a secure mediator between your device and Zoho to protect the sync against cyberattacks. Force Re-Sync: Sync all the users' data once again. Reset Zoho One Sync Tool: Clear the custom-settings made so far and enable the default ones. Update Zoho One Sync Tool Automatically: Check for latest versions frequently and have the tool updated without manual intervention.
