Learning Plan

What is Learning Plan?

The learning plan in Zoho People is to help train employees with the help of a curriculum or a syllabus-like focused approach. Learning plans may consist of several courses, and the courses can be grouped into levels. Organizations may want their employees to evolve their skillsets and knowledge constantly. A carefully crafted learning plan can include a set of selected courses that employees belonging to a specific role or designation can undertake in order to improve themselves there-by becoming more valuable people in the company.

How does it work?

  1. A learning plan is created. A plan title and a description that helps learners understand what is offered in just a qSylauick glance is added.
  2. Levels and courses are added. A plan may contain several courses and levels. Each level can hold several courses.
  3. Mandatory courses are marked. Learners must complete mandatory courses to complete a plan. Each plan must contain at least one mandatory course.
  4. Courses can be locked to ensure a do-this-first approach. i.e., the course only gets unlocked when a specific course is completed first.
  5. Setup Learning Plan Settings, which includes applicability, learning outcomes.
  6. Learning plan is published, and eligible employees can now access the plan.

Create a new Learning Plan | Learning Plan Settings | Learning Plan Completion Outcomes

  1. To create a new plan, navigate to LMS (from left bar) > My Data > Learning Plan and click on Add Learning Plan.



  2. The learning plan creator screen will be displayed. Click on the title to edit the learning plan title. Click on the clock icon / duration text to set the suggested duration (approximate time a learner will need to spend to complete the learning plan. Clicking on the plan admin count allows you to add and manage administrators. The description can also be edited.



  3. The learning plan image can be set by clicking on the image. You will have options to use preset or custom images. 



  4. Next, proceed with adding levels and courses to your learning plan. Levels can be used like sections, which group related courses together. Once you have created the level structure, proceed with adding the corresponding levels. View the attached screenshot below for an example of how a learning plan can be structured. 



  5. Next,  proceed to mark mandatory courses of the learning plan. The learner must complete all mandatory courses to complete a plan. A course marked mandatory is indicated with a red ribbon on the left. Courses can also be locked, i.e, a locked course cannot be accessed until learner completes a specific course, click on the lock icon to configure it. This is useful when you want to ensure that a learner completes a specific course before proceed to another one. 



  6. Next, proceed to configure the learning plan settings, to do so, click on the gear icon on the top-right corner.


    Here is what you can configure within the learning plan settings page:

     - Basic Details: Edit the name, suggested duration, and description.



    - Learning Plan Applicability: Here, add rules that define the applicability / access to the learning plan. Multiple rules, combinations can be setup. Specific users can also be granted access.



    - Completion Outcome: Update the learner's designation, department, skills, location, group on completion of the learning plan.

    HOW DOES COMPLETION FEATURE WORK?
    When an administrator creates a learning plan and adds completion outcomes:
    If the administrator is the person creating the learning, then all the change requests configured here will be auto-approved.

    When a non-administrator user creates a learning plan and adds completion outcomes:
    If another user who is not a moderator or an admin adds any completion outcomes, then it will require approval from the administrator or plan admin. Click on the More (ellipses icon) >  Approval Log option to view the detailed log. 

    ⚠ Administrators must approve learning plan outcomes from LMS (left side tab) > Moderation tab for completion outcomes to be official and active.

    Plan Admin: Add administrators who can edit, publish, configure and approve learning plan outcomes. 

  7. Once everything is configured, the learning plan can be published by clicking on Publish button in the top right corner. Now applicable learners will be able to access the plan.

Once users have enrolled, you can click on the Enrolled user count to view user details, track progress, send reminders and more. Users can enroll in applicable learning plans by navigation to LMS (left side tab) > Catalog > Learning Plan tab.

NOTES
Note 1:
 Courses are not limited to a single learning plan. The same courses can be added to multiple learning plans.

Note 2: If any course that is part of a learning plan is disabled (my courses > hover over a course > ellipses icon > disable), then it will not be displayed in the default Active Course view of the learning plan.

Note 3: Use the active course drop-down and select the All Courses option if you want to view disabled courses.

Note 4: You can disable a published learning plan. To do this from the course catalog, click on the ellipses icon when hovering over a learning plan and click Disable. You will be prompted to enter a comment when disabling a learning plan. Once a learning plan is disabled, it will not be accessible to the learners.
