Timesheets Settings

Notes
What are Timesheets?
Time logs collated together are known as timesheets. These sheets can capture details such as total hours, breaks taken, billable hours, etc. Typically, employees are expected to submit their timesheets, and once they are approved they will get paid for the work they have done (depends on configuration).

Configuring Timesheets Settings

To configure Timesheets related settings, navigate to Settings > Timesheet > Configuration > Timesheet (for administrators).

Restrictions

Restrict timesheet period while submission: Using this option, you can limit your employees to submit the timesheets of only one day, week, or month. You can further specify the period of timesheet submission for the week or month.

To better understand how various configurations can work here. Let us take a look at few examples:
Quote
Example 1: Restrict timesheet submission to a single day

Quote
Example 2: To restrict timesheet submission to specific time range

Quote
Example 3: To restrict only with the end date (this can be reversed if you are only restricting with the start date by configuring only "From" aspect).

InfoSimilar configurations are also possible when selecting the Month option.
Limit time logs based on billable status for timesheet submission: Choose to only allow billable or non-billable time logs during timesheet submissions.

Exclude time logs without clients during timesheet creation: Ensure only time logs with projects or clients are submitted.

Restrict timesheets with overlapping dates: Two or more time logs for the same date will not be allowed.

Set minimum hours criteria for timesheet submission:
This option lets you set minimum hours for time logged for a day and for a week. This setting serves as an alert for a user when they submit a timesheet. If the setting is enabled, the user will be prompted with an alert if their total logged hours are less than the minimum hours set. They will, however, be able to submit their timesheet irrespective of whether their total logged hours meet the set criteria.
If the timesheet goes for approval, the approver will also receive an alert indicating that the user has not met the set minimum hour criteria. This information will be useful for the approver before they approve or reject the timesheet.

Set maximum hours criteria for timesheet submission:
This option lets you set maximum hours for time logged for a day and for a week. This setting serves as an alert for a user when they submit a timesheet. If the setting is enabled, the user will be prompted with an alert if their total logged hours exceed the maximum hours set. They will, however, be able to submit their timesheet irrespective of whether their total logged hours exceed the set criteria.

Permissions

Timesheet can be created by: You can define here if reporting managers can create timesheets for their reportees and if employees can create their own timesheets.

Display rate per hour in timesheet for: Select the appropriate people for whom you want the rate per hour to be displayed. In some organizations, the employee's rate per hour on the timesheet is preferred to be hidden. In that case, uncheck the employee (for self) option.

Allow approver to edit time logs during approval: Typically, while approving or rejecting a timesheet, approvers will not be given the option to edit the timesheet. The timesheet will be rejected and the employee will have to resubmit it. This option gives the approver the flexibility to make modifications to the Job name, billable status, time log hours, and work item during approval of the timesheet, thereby speeding up the process.

Currency

Select the currency that will be applied across the organization as the default choice. Additionally, add other currencies pertaining to specific locations.
