What are Timesheets?
Time logs collated together are known as timesheets. These sheets can capture details such as total hours, breaks taken, billable hours, etc. Typically, employees are expected to submit their timesheets, and once they are approved they will get paid for the work they have done (depends on configuration).

Configuring Timesheets Settings

To configure Timesheets related settings, navigate to Settings > Timesheet > Configuration > Timesheet (for administrators).

Restrictions

  1. Limit timesheet period while submission: Using this option, you can limit your employees to submit the timesheets of only one day, week, or month. You can further specify the period of timesheet submission for the week or month.

  1. Limit time logs based on billable status for timesheet submission: Choose to only allow billable or non-billable time logs during timesheet submissions.
  2. Exclude time logs without clients during timesheet creation: Ensure only time logs with projects or clients are submitted.
  3. Restrict timesheets with overlapping dates: Two or more time logs for the same date will not be allowed.      
  4. Set minimum hours criteria for timesheet submission:  Configure the minimum hours that must be logged per day or week.
    1. When enabled:
      - Users will receive an alert if their logged hours are below the configured minimum.
      - Users can still submit their timesheets even if the minimum hours requirement is not met.
      - Approvers will be notified when a submitted timesheet does not meet the minimum hours criteria.
      - This helps approvers make informed approval decisions.
  5. Set maximum hours criteria for timesheet submission: Configure the maximum hours that can be logged per day or week.
    1. When enabled:
      - Users will receive an alert if their logged hours exceed the configured maximum.
      - Users can still submit their timesheets even if the maximum hours limit is exceeded.
      - The alert helps users review and validate their logged hours before submission.

Permissions

Timesheet can be created by: Specify who can submit timesheets, whether employees for themselves, reporting managers for their reportees, or both.

Display rate per hour in timesheet for: Select the users who can view the rate per hour in the timesheet.  You can allow Approver, Reporting Manager, and Employees to view the rate per hour. If employees should not see their own rate per hour, uncheck the Employee (Self) option.


Preferences

The Timesheet Preferences section allows administrators to configure how timesheets are reviewed, approved, rejected, and resubmitted. These settings help standardize the approval process and improve the quality and accuracy of time logs entries in timesheet.,

To configure timesheet preferences, navigate to Settings > Timesheets > Configuration > Timesheet > Preferences.
  1. Allow approver to edit time logs during approval: Typically, while approving or rejecting a timesheet, approvers will not be given the option to edit the timesheet. The timesheet will be rejected and the employee will have to resubmit it. This option gives the approver the flexibility to make modifications to the Job name, billable status, time log hours, and work item during approval of the timesheet, thereby speeding up the process. 
  2. Allow adding time log approval or rejection comments: Allows approvers to add comments when approving and/or rejecting time logs. You can choose to require comments for approval, rejection, or both actions.
  3. Make comment mandatory:  Requires approvers to enter a comment when approving or rejecting time logs if comments are enabled.
  4. Allow only predefined comments: Restricts approvers to selecting comments from a predefined list while approving or rejecting time logs.
  5. Allow employees to edit and resubmit rejected time logs on partially approved timesheets: Allows employees to update rejected time log entries and resubmit the timesheet for approval without affecting approved entries.
  6. Show shift details in timesheet: Displays employees' assigned shift information within the timesheet for better visibility and accurate time logging.

Currency

Select the currency that will be applied across the organization as the default choice. Additionally, add other currencies pertaining to specific locations.

This feature allows you to customize the timesheet approval email.
