Share files with non-Zoho users or the public

You can use document links and easily share files with non-Zoho users. Your files won't be listed anywhere publicly, but anyone with the document link will be able to view the file. For added security, you can password protect your file so only users you choose have access. You can also set a password expiration date, after which outside collaborators will no longer be able to access the file.

Share files with anyone on the internet

  1. Click Share. A dialog box, titled Share, will appear.
  2. In the Share dialog that opens, click Change Visibility under "Who can access".
  3. In the dialog that follows, click the down arrow on the right side of the Who can access this file via permalink? field.
  4. Click Anyone on internet. A dialog box containing the file's unique access link will appear. Copy it.
  5. Click Share.


NotesPlease note that when the permission is set to "Anyone on internet", the access level will automatically be restricted to View and anybody with the link can access the document irrespective of having a Zoho WorkDrive account.

Writer allows you to share protected files with your email contacts easily and securely. You can set a password and an optional expiration date for your document link. Simply add contact email addresses to send the document link and password to your external collaborators.

To share password protected files with external contacts,

  1. Click Share
  2. Click on New external share link as shown in the image below.



  3. Enter the email addresses or link name of the contacts with whom you want to share the document with.
  4. Set password if required. Please note that, you have to share the password manually to your collaborators.
  5. Set an expiration date for your password by toggling on Set expiration after  if you want to prevent your contacts from accessing the file after a specific date.
  6. Enable Download and Print actions if required. 
  7. Turn on Request user data and choose the required data from the dropdown, i.e., Email, Phone and Name. If this is enabled, the person with the link will be allowed to access the document only on entering the requested data. (email, name and phone)
  8. Click Create, to create a new external link.
                  
NotesPlease note that you have to share the link and password with the members manually to access the document.
