Customize timesheet layout

The log creation form is composed of fields that help capture the timesheet details that you need recorded. Zoho Sprints has a predefined standard layout that is applied by default. However, the form comes with a customizable layout. This enables you to include additional fields apart from the default fields. So, you can introduce custom fields into the form's layout based on your requirement. After you've customized the layout, your log details will display these field along with the default fields.

Benefits

  4. Introduce sections to categorize the fields into subheadings.
  5. Clone existing layouts and alter them into new layouts.

Default section in layouts

The following fields are part of the default section:
  1. Log Date
  2. Log Time
  3. Billing Status
  4. Release
Notes
These fields cannot be deleted from the layout because they help capture crucial information about the log.

Create a custom layout

  1. Click the gear icon in the top-right corner to navigate to the Settings page.
  2. Go to Custom Layouts under Layout and Rules.
  3. Select Timesheet.

  4. Click the +Layout button.
  5. Select a layout to clone.
    Note: If you're creating your first custom layout, use the default standard layout to clone. If you've already created layouts, use them to clone and build new layouts.
  6. Enter the name of the layout.
  7. Enter a layout description.
  8. Click the Create button. The layout is created with the default section and the cloned fields from the layout the you had selected.
  9. Drag and drop fields from the New and Existing fields tabs.
    1. New Fields - Create new fields that haven't been used in any of the other layouts.
    2. Existing Fields - These are fields that are already used in any of your existing layouts.

  10. Enter the fields related details. You can set the following field specifications:
    1. Make the field mandatory
    2. Enable data encryption to mask the data in the field
    3. Mark the field as PII/ePHI to denote that the information in that field is personally identifiable information or electronic protected health information.
  11. Click the Save button after adding all the required fields. The layout is saved and ready to be associated with your projects.

Associate projects with layout

You can associate a timesheet layout with projects from the settings module.
  1. Click the gear icon in the top-right corner to navigate to the Settings page.
  2. Go to Custom Layouts under Layout and Rules.
  3. Select Timesheet.
  4. Click the Associate button in the layout card.

  5. Select the projects that need to be associated.
    1. You can select up to 25 projects at a time.
  6. Click the Associate button. The layout is applied to the timesheet in that project.
Notes
You can also associate projects while creating the layout. Click the Associate button instead of the Save button. The layout is applied to the projects and saved simultaneously.

Edit custom layout fields

You can edit the existing fields and their specification, add new fields, and remove existing fields.

To edit fields in custom layout:
  1. Click the gear icon in the top-right corner to navigate to the Settings page.
  2. Go to Custom Layouts under Layout and Rules.
  3. Select Timesheet.
  4. Click the required layout on the listing page. The layout edit window will appear.
  5. Make required changes.
  6. Click the Save button to save changes or the Associate button to apply the updated layout to projects.

Edit custom layout details

You can edit the layout name and description in this layout.

To edit custom layout details:
  1. Click the gear icon in the top-right corner to navigate to the Settings page.
  2. Go to Custom Layouts under Layout and Rules.
  3. Select Timesheet.
  4. Click the required layout on the listing page. The layout edit window will appear.

  5. Click the Edit link at the top. The layout details window will appear.
  6. Make required changes.
  7. Click the Update button to save changes. 

Delete custom layout

To delete custom layout:
  1. Click the gear icon in the top-right corner to navigate to the Settings page.
  2. Go to Custom Layouts under Layout and Rules.
  3. Select Timesheet.
  4. Click the required layout on the listing page. The layout edit window will appear.
  5. Click the Delete link at the top. You will be requested to reassign the projects associated with the layout to another layout.
  6. Select another layout for the projects.
  7. Click the Reassign and Delete button. The layout will be deleted and the projects will be reassigned to the other layout.
NotesIf no projects are associated with the layout, you can directly delete the layout.
