How do I export Zoho CRM data and garbled foreign characters?
For Excel 2003
1. Open Microsoft Excel.
2. Data - Import External Data - Import Data.
3. Choose the file.
4. In Text Import Wizard Choose 'Delimited' as 'Original data type'.
5. Choose UTF-8 from the File-origin List box.
6. Click Next.
7. Choose 'Comma' as 'Delimiters'.
8. Click Next.
9. Choose 'Text' as 'Column data format' by selecting each column from Data Preview.
10. Click Finish and open in New Work Sheet.
For Excel 2007 & 2010
1. Open Microsoft Excel.
2. Data - From Text.
3. Choose the file.
4. In Text Import Wizard Choose 'Delimited' as 'Original data type'.
5. Choose UTF-8 from the File-origin List box.
6. Click Next.
7. Choose 'Comma' as 'Delimiters'.
8. Click Next.
9. Choose 'Text' as 'Column data format' by selecting each column from Data Preview.
10. Click Finish and open in New Work Sheet.
How can I export data from reports in Zoho CRM?
You can export data from the modules as well as reports.
In case of reports, you can export the data in three different formats - Excel, CSV and PDF. Each one of them have different export limits.
Export limit
- In PDF and Excel formats you can export 2000 records per batch (records from a single page of a report).
- In CSV format you can export 20,000 records from the first page of a report and 2000 from the subsequent pages.
Note that one page of a report consists of 2000 records only.
So, assume you have a report of 30,000 records that you want to export in CSV format. From the first page of the report you can export 20,000 records and from the subsequent pages you can export 2000 records only. Now, since every page of a report consists of 2000 records, you would have exported from 10 pages to get 20,000 records. Therefore, to export the remaining 10,000 records you must start export from the 11th page of the report. From here you can export 2000 records (i.e 20,001-22,000) and so on.
Note:
- You can export 20,000 records only from the first page of a report up to 5 times in a day. That is, if you think the first export was incorrect you can repeat the process upto 5 times a day. The limit applies to same or different reports.
- Irrespective of the number of records in a report, the export limit is 5 times a day.

How can I export notes?
The Export Notes feature allows you to export the notes from Zoho CRM in CSV format. You can export a maximum of 3000 notes at a time.
To export notes
- Go to Setup > Data Administration > Export.
- In the Export Data page, select Notes from the drop-down list.
- Click Export. You will get a dialog box saying, "Are you sure?".
- Click Ok.
All the note records will be exported and saved in .CSV format in your local disk.
Can I export certain selected records from Zoho CRM?
Yes, you can. When you are creating an export, you can choose to export a custom view or set the criteria for that export. You'll also be able to select the fields that need to be included in that export. For more information, see Export CRM Data.
