Zoom meeting is a popular cloud-based video conferencing platform that allows users to connect for meetings, webinars, and chat. It supports face-to-face discussions, screen sharing, file sharing, and real time collaboration through a simple and easy to use interface.
Zoom integration with Zoho Desk makes the support process more efficient by allowing agents to schedule meetings from the ticket interface without switching between multiple applications. Agents can initiate, manage, and share meeting sessions and meeting links with the customers and other stakeholders from the ticket.
For example, while handling a ticket, the agent needs to debug an issue, which necessitates speaking with the customer. They schedule a Zoom meeting from the ticket and invite the customer without having to swap between multiple applications. This facilitates a smoother collaboration.
The meeting details are also saved inside the ticket, which serves as a record. This makes it easier to maintain a clear record of the communication.
Enabling the Zoom Meeting integration
- Log in to your Zoho Desk account with admin access.
- Navigate to Setup > Integrations > Marketplace > All Extensions.
- Click Zoom Meeting for Zoho Desk.
- Click Install.
- Choose the Portal for which the extension is required.
Agree to the terms and conditions and install the extension.
- Click the General Settings tab.

- Select the Department and the Profiles required for this extension from the drop-down list.
- Click Save.
Authorisation of Connections
Authorisation is an important step that confirms the connection is safe and trusted. It allows Zoho Desk to identify the authenticity of the connection and allow the external app to access Desk's data. By going through the authorization process, permission for the integration to work is given while keeping the account and information protected.
Note: To complete the authorization, the user must have Manage Marketplace permission in Zoho Desk and admin access in Zoom Meeting.
Sigma authorization:
- Click the ZApps External Client authorization. You will be redirected to Sigma authorization.
- Click Accept to complete the authorization.
- Click Authorize.
- The Zoho OAuth authorization page will open. Click Connect.
- In the DRE authorization page, click Accept to complete the authorization.
Zoom Meeting authorisation:
Click
Authorise.

In Zoom Meeting for Zoho Desk DRE page, click Connect.
- In the Zoom Meeting login page, enter your email address and password.
- Click Accept.
Customise the Meeting details tab
The private comment that is added in the ticket when an agent starts or schedules a meeting can be customized. The meeting details to be displayed can be customised based on the requirement.
- Click the Meeting details tab. The private comment to be added to the tickets can be customized.
- Click Save.

Creating a meeting from the ticket
Once the integration is set up, meetings can be created from the ticket detail page.
To initiate a meeting:
- Select and open the desired ticket.
- Click the More icon.
- Select Meet now or Schedule now option.

- On the Create Event page, do the following:
- Event Subject is auto-populated with Ticket Subject. Users can edit it if needed.
- Status is set as not started by default.
- Select the Start time and the Duration of the meeting.
- In the Contact Name field, the Contact mentioned in the ticket is auto-populated. However, it can be removed and another contact can be added.
- The Priority can be set as High, Highest, Low, Lowest or Normal.
- The Event Owner is the ticket owner by default. It can be edited if required.
- Enter a Description, if needed.

- Set Reminder as required.
By default, Set reminder is on; the agent can disable it if required. - Select the Meeting type as Audio or video.

- Select the participants from the drop- down list as: Agent, Contacts, or Others.
By default, the agent and the contact of the ticket are added. Additional agents or contacts can also be added. External stakeholders email addresses can also be added.
Note: Secondary contacts or CCs can either be added by selecting the contact option and selecting the secondary contact from the list or entered manually.
- Click Schedule now or Meet now.
Note: The event owner (agent) must be an active user in Zoom in order to create a meeting.
Initiating the Zoom Meeting
Meeting details, such as the Duration, Link, Meeting ID, Password, Participants, and the link of the Meeting Recording, will be added to the conversation, and the status will be marked as Completed once the scheduled start time and overall duration of the meeting are elapsed.
There are various places from where the meeting can be initiated.
Starting the meeting from the link in the ticket detail page
- Open the desired ticket in the detailed view.
- The details of the meeting scheduled are available as a conversation.
- Click the Zoom meeting link to join the meeting directly.

Starting the meeting from the ticket activity tab
- Open the desired ticket in the detailed view.
Click the Activity tab.
- Choose the required Zoom Meeting event.
- From the event information page, click the Zoom Meeting icon (
).
- Click Start Meeting.
Starting the meeting from the Activities module
- Navigate to the Activities module.
- Select and open the desired activity.
- From the event information page, click the Zoom Meeting icon (
).
- Click Start Meeting.
Starting the meeting from the Contacts module
- Navigate to the Contacts module.
- Click on the desired contact.
- Click the Activity tab.
- Choose the required Zoom Meeting event.
- From the event information page, click the Zoom Meeting icon (
).
- Click Start Meeting.
Disabling and uninstalling the Zoom Meeting extension
User with manage marketplace permission can disable or uninstall the Zoom Meeting extension at any time. Once uninstalled, agents will not be able to initiate new meetings from the tickets. However, existing meeting data and scheduled meeting links will be available.
Disabling Zoom Meeting extension
- Navigate to Setup > Integrations > Marketplace > Installed extensions.
- Click the Zoom Meeting for Zoho Desk extension.
- Toggle the Enable option.

- Click Disable to confirm.
Uninstalling Zoom Meeting extension
- Navigate to Setup > Integrations > Marketplace.
- Go to Installed extensions.
- Click the Zoom Meeting for Zoho Desk extension.
- Select the More option in the top-right corner of the extension.
- Click Uninstall Extension, then Confirm.

Note: Single Active Zoom Connection per User
When the user connects their Zoom account to Zoho Desk, Zoom generates a key to activate the link. This lets the user create meetings and sync data without logging in each time. However, Zoom allows only one active connection per user. If the user tries to reconnect Zoom to Zoho Desk, the previous connection will automatically stop working. Therefore, each user can only have one Zoom Meeting extension installed per portal.
