View Individual Responses in Zoho Survey - Online Help Guide

Individual Responses

In this section, you'll find details about individual responses to each of your survey questions. The respondent's IP address, the date, the time they took to complete the survey and the average rating of the survey will also be displayed. If the respondent hasn't answered any questions, they'll be shown as Skipped. The custom variable data collected from email distribution, Zoho CRM, Zoho Campaigns, and unique parameter names will also be displayed in this section. You can click  Create online surveys  to navigate to the previous or next pages.
Note
All responses will be anonymous by default unless you explicitly ask for your respondents' personal details.


To edit individual responses:

  1. Click Reports on the left pane.
  2. Click Individual Responses.
  3. Click  and select Edit to edit the responses.

To view the timeline of a response:

  1. Click Reports on the left pane.
  2. Click Individual Responses.
  3. Click  and select Timeline to track all the activities associated with the response.

To delete an individual response:

  1. Click Reports on the left pane.
  2. Click Individual Responses.
  3. Click  and select Delete to delete responses.

  4. Confirm your selection in the dialog box that follows. Deleted data cannot be restored.

To export an individual's response:

  1. Click Reports on the left pane and select Individual Responses
  2. Click  .

To export the response as a spreadsheet:

  1. Click Reports on the left pane and select Individual Responses
  2. Click  . Select As Spreadsheet.

  3. Type a name in the File Name field. 
  4. Select the required language in the Language dropdown.
  5. Enable the password knob to set a password for the export file.
  6. Type a password in the Enter Password field.
  7. Click Export.

To export the response as a PDF:

  1. Click Reports on the left pane and select Individual Responses
  2. Click  . Select As PDF.

  3. Type a name in the File Name field. 
  4. Select the orientation - Portrait or Landscape in the Orientation dropdown. 
  5. Select the size of the PDF in print in the Paper Size dropdown. 
  6. Select the type of response you want to download in the Response view dropdown.
  7. Select a language in the Language dropdown list. 
  8. Enable the password knob to set a password for the export file. 
  9. Type a password in the Enter Password field. 
  10. Click Export

To export the response as a ZIP:

  1. Click Reports on the left pane and select Individual Responses
  2. Click  . Select As ZIP.

  3. Type a name in the File Name field.
  4. Select the required option in the Response view.
    1. Select All questions to view all questions.
    2. Select Shown questions to view only the questions shown to the respondent.
    3. Select Answered questions to view only the questions answered by the respondent.
  5. Select a language in the Language dropdown list.
  6. Select the range in the Range dropdown list.
  7. Enable the password knob to set a password for the export file. 
  8. Type a password in the Enter Password field. 
  9. Click Export.

To export the response as a CSV

  1. Click Reports on the left pane and select Individual Responses
  2. Click  . Select As CSV.

  3. Type a name in the File Name field. 
  4. Select the required language in the Language dropdown.
  5. Enable the password knob to set a password for the export file.
  6. Type a password in the Enter Password field.
  7. Click Export.

To export the response as an SPSS:

  1. Click Reports on the left pane and select Individual Responses
  2. Click  . Select As SPSS.

  3. Type a name in the File Name field. 
  4. Select the required language in the Language dropdown.
  5. Enable the password knob to set a password for the export file.
  6. Type a password in the Enter Password field.
  7. Click Export.

To export the response to a Zoho Sheet:

  1. Click Reports on the left pane and select Individual Responses
  2. Click  . Select Open in Zoho Sheet.

To print an individual response:

  1. Click Reports on the left pane.
  2. Click Individual Responses.
  3. Click  and select Print Response to print responses.

Individual Custom Report

With Individual Response Report Customization, you can create custom reports based on responses to specific survey questions. When you create a new custom report, you have the opportunity to choose a combination of report parameters to be displayed in the Individual Response view. This makes it easy to analyze and export reports in various forms for different purposes, like marketing, employee evaluations, and customer feedback.

Use Cases:

Custom individual reports can be created and used in various scenarios. Let's say you are a lecturer who wants to create a custom report displaying the IP addresses, response IDs, survey scores, page scores and question scores of students who attended an evaluation. To do this, simply select your required parameters from the list under the Custom Report section. 
Say you are a marketing executive, and your manager has asked you for a report that details customer feedback on a newly released washing machine, which you've obtained from a survey that solicited feedback on multiple products. Simply select your parameters, like IP address, response ID, questions related to the product, total rating, and average rating from the available list and create your report!

To create a custom individual response report:

  1. Go to the Reports tab and select the Individual Responses section.
  2. Click Custom Report on the left pane.
  3. Click Create.

  4. Enter the required report name in the Report name textbox.
  5. The custom report creation window will display all the response elements -- Response Status, IP address, Response ID, Public response link, Custom Domain Public response link, Survey URL, Start Time, Complete Time, Time Taken, Collector Name, Survey Score, Page Title, Page Description, Page Score, Question Score, Total Rating, Average Rating, Respondent Location, Quota, Notes, Respondent Variables, Custom Variables, Page Info, and the Questions in your survey.
  6. Select the response options of your preference.
  7. Click Save.

Behaviour:

  1. Public response linkSurvey URL and Custom Domain Public response link will not be displayed in the default shared report in the Individual Responses section. 
  2. Public response link field will be displayed only when you select the option to Generate a public link for each individual response under Settings -> Preferences -> Response Preferences.
  3. Custom Domain Public Response link will be displayed only when the Custom Domain Public Response link is enabled and Generate a public link for each individual response option is selected under Settings -> Preferences-> Response Preferences.
  4. Respondent Variable and Custom Variable fields will be displayed only if those Variables are available.

Access:

Individual response report customisation will be available for your surveys in your Zoho Survey account with the Plus, Pro and Enterprise plans.
