Leave Tracker

The Leave Tracker is a tool used by many organizations including small scale organizations to record and manage employee leave details such as vacation, sick days, paid time off and other leave types. It has now become an essential need for every organization. Maintaining a clear record of employee leave ensures compliance with policies and enables transparency.
 
With Leave Tracker in Zoho Sprints, you can track and manage the leave details of the employees in your organization. This helps organizations stay organized while giving both employees and employers visibility. Employees are also encouraged to use their leave responsibly.
 
In Zoho Sprints, users can apply for leave and get them approved or rejected by the workspace owner or admin user. Users can view the number of leave days they’ve taken and how many remain directly from the Leave Tracker section.
 

Apply leave in Zoho Sprints

  1. Click the gear icon at the top-right corner. The settings window will appear.
  2. Select Leave Tracker under Personal Settings. The leave tracker listing window will appear.
  3. Click + Leave to apply for a new leave.
  4. Select a leave type from the drop down: Casual, Sick, Optional or Privilege.
  5. Select the From Date and To Date from the date view calendar.
  6. Enter a reason for applying for leave.
  7. Click Apply.

Notes
 Note:    
 List of leave types and number of leaves a user can apply in each leave type:  
  1.  Casual Leave: 12 
  2.  Sick Leave: 24 
  3.  Optional Leave: 12 
  4.  Privilege Leave: 12 
 If you apply leave more than the allowed limit, the system will display a message indicating the limit has been exceeded for that category. These are system-configured leave types and its limits that cannot be customized.
 
Once a user applies for leave, the workspace owner will receive both an email notification and a feed notification. Users with permission to Manage Leave Tracker will also be notified.
 

Edit leave requests 

All leaves applied by the user can be edited as long as the date has not elapsed. If the date has elapsed and if there is a need to update the leave, then the respective user can request the workspace owner to update it.
 
To edit the leave requests:
  1. Click the gear icon at the top-right corner. The settings window will appear.
  2. Select Leave Tracker under Personal Settings. The leave tracker listing window will appear.
  3. Hover over a leave that was applied, and click Edit.
  4. Update the leave information.
  5. Click Update


Leave information will be updated.

Approve or reject leave requests  

Workspace Owners and other users with the  'Manage Leave Tracker' permission can view the leave list of other users or team members. They can approve or reject their leave requests.
 
To approve or reject leave requests:
  1. Click the gear icon at the top-right corner. The settings window will appear.
  2. Select Leave Tracker under Personal Settings. The leave tracker listing window will appear.
  3. By default, you'll land in the My View section. Switch to Team View.
  4. Hover over the leave requests and click Approve or Reject.

Once the leave request is approved or rejected, the user will receive an email notification and a feed notification.

Bulk approve or reject leave requests 

To save time, multiple leave requests can be approved or rejected at once.

To multi-select the leave approval requests:
  1. Click the gear icon at the top-right corner. The settings window will appear.
  2. Select Leave Tracker under Personal Settings. The leave tracker listing window will appear.
  3. By default, you'll land in the My View section. Switch to Team View.
  4. Click the checkbox beside each leave request.
  5. Once done, click the Approve or Reject button.


The leave requests will be updated accordingly.
 
Notes
Note: Users who have applied for leave will not be able to add timesheets or log hours on their leave days, even through Zoho Projects if integration is enabled. 

Delete leave requests 

  1. Click the gear icon at the top-right corner. The settings window will appear.
  2. Select Leave Tracker under Personal Settings. The leave tracker listing window will appear.
  3. In the My View section, hover over the leave request and click Delete.
  4. Confirm your action and click Delete

View and manage leave requests from user details page 

Workspace owners and users withaccess to the Manage Users section can view and manage leave requests from the user details page.
 
To view and manage leave requests:
  1. Click the gear icon at the top-right corner. The settings window will appear.
  2. Select Workspace Users under Manage Users.  
  3. Select a user profile.
  4. Switch to the Leave Tracker tab. All leave requests of the respective user will be available.
  5. Hover over a leave request and click Approve or Reject


Leave requests will be updated accordingly.
