Create and manage epics

Epics in Zoho Sprints enable you to create a cluster of work items in place of one massive work item. Creating an epic implies you're creating a container to hold a list of work items that result in one major user story. 


Epic folders

There're two folders in which your epics are available. They are the Active and Archive folders.
  1. Active folder contains ongoing epics. The work items in these epics are in progress.
  2. Archive folder contains epics that are completed. You can also move incomplete epics to the archive if the epic doesn't progress as expected or if it is shelved due to priority changes. If needed, you can move an archived epic back to active folder to restart it.

Epic views

There're different views to the items listed in the epic:
  1. Plain view provides a simple view comprising only the item ID, item name, and assignee.
  2. Detail view offers a more comprehensive view displaying the item ID, item name, priority level, estimation points, tags, item status, assignee, and more actions.
    1. You can include the subitem details in the view. Click the View dropdown and select Subitem Expand View.
    2. You can customize the fields visible in this view in Customize Backlog in Settings.
  3. Sheet view enabled you to your epic on a spreadsheet. Learn more.

The collapse and expand capability allows you to toggle between the visibility of the epic folder listing section.

Create epic

You can create an epic from scratch or use a template project to reuse an existing epic.

To create an epic:
  1. Open the required project.
  2. Go to Epic module.
  3. Click the +Epic button. The epic creation window will appear.
  4. Enter epic name. (Epic name can contain up to 100 characters.)
  5. Enter a description. (Description can contain up to 250 characters.)
  6. Select the epic owner.
  7. Select the color to be assigned to the epic.

  8. Click the Create button. The epic will be created and listed in the active folder. You can start adding new items or associating existing items to the epic.
Notes
You can customize this creation form by introducing custom fields to capture details specific to your requirement. Learn more.
To create epic from template:
  1. Go to the Epic module.
  2. Click the dropdown on the Create button.
  3. Select Create Epic. The epic creation form will appear.
  4. Click the Choose project template link.
  5. Select the required project template and epic to reuse for this epic.
  6. Reschedule the date of the epic to adjust to the new timeline.
  7. Click the Create button. The epic will be created with the data available in the selected template. You can make modifications according to your new requirement.
Notes
You can use the global add button to add epic from across the application.

Associate epic

You can associate epic with items:
  1. The item creation form includes the Epic field where you can select the relevant epic to which the item will be added.
  2. The bulk actions that appear in the backlog allows you to add multiple items to an epic.
    1. Select the required items in the backlog.
    2. Click the Update button.
    3. Select Epic from the dropdown menu.
    4. Enter the epic name to search.
    5. Select the required epic.
    6. Click the Update button. The items will be added to the epic.
You can view the epic tagged in each associated work item in your backlog or sprint.

Edit epic

To edit an epic:
  1. Go to the Epic module.
  2. Hover over the required epic in the active folder. The Details icon will appear.
  3. Click the Details icon. The detail view of the epic will appear.
  4. Make changes to the details.
  5. Click the Update button. The changes will be saved.

Delete epic

To delete an epic:
  1. Go to Epic module.
  2. Hover over the required epic in the active folder. The Details icon will appear.
  3. Click the Details icon. The detail view of the epic will appear.
  4. Click the Delete icon on the right-side bar. A confirmation pop-up will appear.
  5. Click the Delete button. The epic will be deleted.
Notes
All the work items in the epic will be dissociated from the epic.
 

Move epic to archive folder

To move an epic to archive folder:
  1. Go to Epic module.

  2. Hover over the required epic in the active folder. The Details icon will appear.
  3. Click the Details icon. The detail view of the epic will appear.

  4. Click Move to Archive. The epic will be moved to the archive folder.

Move epic to active folder

To move an epic to active folder:
  1. Go to Epic module.
  2. Hover over the required epic in the active folder. The Details icon will appear.
  3. Click the Details icon. The detail view of the epic will appear.
  4. Click Move to Active. The epic will be moved to the active folder.
