Overview
Zoho CRM is a customer relationship management platform that helps you manage leads and contacts, engage customers, and streamline business processes. You can integrate Zoho CRM with Backstage to create and manage events from CRM, track registrations and revenue, and sync attendee details.
When integrated, every event created in Zoho Backstage is automatically added to the ZBS Events module in Zoho CRM.
Configuring Zoho CRM for Your Portal
Set up the integration by linking your Zoho CRM organization to your Backstage portal. Select which event-level fields you want to sync, and automatically create a custom ZBS Events module in CRM to store this data.
- Navigate to Portal Settings > Integration > CRM from your portal page.
- Click Configure Now. This will open the Zoho CRM Configuration dialog box.
- From the Choose Your Zoho CRM Organization dropdown, select your organization.

- Click Select to continue. The Zoho CRM Integration setup page will open. By default, it will show the Modules > Events tab.
- The events module is automatically enabled when CRM integration is turned on.
- Use the checkboxes to choose the event fields you want to push to Zoho CRM. The available fields include:
- Portal ID (Mandatory)
- Event Name (Mandatory)
- Event Start Date (Mandatory)
- Event End Date (Mandatory)
- Event Type (Mandatory)
- Event Status (Mandatory)
- Event Timezone
- Event Category
- Event Language
- Event Location
- Event URL
- Space Name
- Once the fields are selected, click Save. This action will create modules in Zoho CRM.
- Enable Sync Past Events Data if required.
- Click Save.
- A new module called ZBS Events will be created in Zoho CRM. The selected data will be pushed to this module automatically.
Attendees
Sync attendee information such as names, contact details, ticket info, and check-in status to the ZBS Attendees module in Zoho CRM. Configure smart matching rules to update existing leads or contacts—or create new ones—based on defined criteria.
- Navigate to Portal Settings > Integration > CRM from your portal page.
- Click Configure Now. This will open the Zoho CRM Configuration dialog box.
- From the Choose Your Zoho CRM Organization dropdown, select your organization.
- Click Select to continue. The Zoho CRM Integration setup page will open. By default, it will show the Events tab.
- Go to Modules > Attendees.

- Use the checkboxes to select the attendee fields you want to push to Zoho CRM. To select all available fields at once, use the Select All Attendee Fields option. The available options include:
- First Name (Mandatory)
- Email (Mandatory)
- Event ID (Mandatory)
- Order ID (Mandatory)
- Ticket ID (Mandatory)
- Ticket Name (Mandatory)
- Last Name
- Company Name
- Mobile
- Designation
- Affiliate Name
- Promo Code
- Total Price
- Check-In Status
- A new module called ZBS Attendees will be created in Zoho CRM. The selected attendee data will be pushed to this module.
- Once you select the fields, the Also Push Data to Existing Modules in Zoho CRM option will appear. Enable this option to display checkboxes for the Leads and Contacts modules.
- Click Configure Lead Search Criteria. The Search Fields section will appear.

- For each search field, choose a value from the Zoho Backstage (Attendees) dropdown, then select the corresponding field from Zoho CRM.
- To delete a search field, click the Delete icon.
- To add a new search field, click Add Field.
- Choose the search operator as either AND or OR, based on how you want the criteria to be applied.
- Set the record update rules based on the search results:
- If a single record is found:
- Associate to ZBS Attendees – Link the attendee to the matched record in Zoho CRM.
- Update Matched Record – Update the matched CRM record with data from Zoho Backstage.
- Take No Action – Do not perform any updates or associations.
- If multiple records are found:
- Associate to ZBS Attendees – Link the attendee to all matched records.
- Update Recently Edited Record – Update only the most recently modified record among the matches.
- Take No Action – Skip any updates or associations.
- If no records are found:
- Create a New Lead – Create a new record in the Leads module.
- Create a New Contact – Create a new record in the Leads module.
- Take No Action – Do not create a new record.
- For each of the three dropdowns, if Take No Action is not selected, the field mapping section will be enabled below.
- Click the Edit button next to either Leads or Contacts to open the Edit panel.
- In the Edit panel, map the Zoho Backstage fields to the appropriate Zoho CRM fields.
- Once the fields are mapped, click Save. This action will create modules in Zoho CRM dialog box will appear.
- Enable Sync Past Events Data if required.
- Click Save.
- A new module called ZBS Attendees will be created in Zoho CRM. The selected data will be pushed to this module automatically.
Tickets
Sync detailed ticket-level data from your events to Zoho CRM. This includes information such as ticket name, price, order details, and attend mode. The data is pushed to a dedicated ZBS Tickets module, giving you better visibility into ticket performance and attendee breakdowns.
- Navigate to Portal Settings > Integration > CRM from your portal page.
- Click Configure Now. This will open the Zoho CRM Configuration dialog box.
- From the Choose Your Zoho CRM Organization dropdown, select your organization.
- Click Select to continue. The Zoho CRM Integration setup page will open. By default, it will show the Events tab.
- Go to Modules > Tickets.

- Use the checkboxes to select the attendee fields you want to push to Zoho CRM. To select all available fields at once, use the Select All Ticket Fields option. The available options include:
- Ticket Class Name (Mandatory)
- Amount (Mandatory)
- Currency Code (Mandatory)
- Quantity (Mandatory)
- Tickets Sold (Mandatory)
- Ticket Description
- Ticket Start Date
- Ticket End Date
- Attend Mode
- Once the fields are selected, click Save. This action will create modules in Zoho CRM dialog box will appear.
- Enable Sync Past Events Data if required.
- Click Save.
- A new module called ZBS Tickets will be created in Zoho CRM. The selected data will be pushed to this module automatically.
Syncing a Specific Event with Zoho CRM
To enable CRM Integration for a particular event:
- Go to the portal page and open the event you want to sync.
- Navigate to Settings > Integrations > CRM from the Dock.
- The Zoho CRM brand linked to your account will be displayed.
- Click Sync to begin syncing attendee data with Zoho CRM.
Syncing All Events with Zoho CRM
- Navigate to Portal Settings > Integration > CRM from your portal page.
- Open the dropdown menu.
- Click Sync All Events.
- All existing events in your portal will be synced, and a list of synced events will be shown below.
You can disable sync for individual events using the toggle switches next to each listed event.
Deleting Zoho CRM Integration
If you no longer wish to sync data with Zoho CRM, you can remove the integration:
- Navigate to Portal Settings > Integration > CRM.
- Click the dropdown menu on the top right.
- Click Delete.
- Confirm the deletion in the dialog box that appears.
- This action will permanently remove the integration between Zoho Backstage and Zoho CRM.
- New attendee data will no longer sync with Zoho CRM.
- All previously configured field mappings and synced contact information will be lost.
Mapping Registration Fields Within an Event
If your event’s registration form includes custom fields, you can map those fields to the corresponding modules in Zoho CRM. This ensures that additional attendee information collected in Backstage is synced correctly.
For smooth syncing, create the relevant custom fields in Zoho CRM before mapping. For example, if your registration form collects details like meal preferences or T-shirt sizes, make sure those fields exist in CRM so the data maps correctly.
Disabling CRM Integration for an Event
If you no longer want attendee data from a particular event to sync with Zoho CRM, you can disable the integration.
- Navigate to Manage > Settings > CRM from the Dock.
- Disable the Zoho CRM toggle.
- A confirmation dialog will appear stating that new attendee information from this event will no longer be synced to Zoho CRM.

- Click Disable to confirm.
Disabling the integration applies only to the selected event. Other events connected to Zoho CRM will continue to sync as usual.
