How to use Smart Scan to Auto-fill a form

This example shows how Smart Scan can auto-fill an Event Registration Form by capturing attendees' contact details. Instead of manually filling the form, respondents can upload a business card, and fields like Name, Company, Designation, Email, and more will be filled automatically.

Step 1 : Admin Sets Up the Form

  1. Add the form fields for Name, Company, Designation, Business Email, Phone and Website.

  2. Drag the Smart Scan field from the AI section into the form and label it Upload Business Card to Scan.

  3. In the Smart Scan field’s configuration, upload a sample business card image.

  4. Smart Scan extracts text such as the person’s name, company, email, and more from the uploaded business card.

  5. Map each extracted value to its corresponding form field. For example, Name → Name field, Company → Company field, Email → Business Email field, and others as required.

  6. Click Save to confirm the mapping.


Now your form knows to auto-fill these fields whenever a business card image is uploaded.

Step 2: Respondent Uploads a Business Card

  1. A respondent opens your form on their laptop or phone.

  2. Instead of typing their contact info, they use the Smart Scan field.

  1. They click Choose Image to upload a photo of their business card, or take a live picture with their phone camera.

  2. Smart Scan processes the image, and within seconds, auto-fills the mapped form fields (Name, Company, Designation, and more) with the extracted data.

 

Step 3: Respondent Reviews and Submits

  1. The respondent reviews the auto-filled details and makes any corrections if needed.

  1. They submit the form.

  2. The uploaded business card image is stored along with the form submission data, and the extracted text is saved in the corresponding fields as usual.

 

This saves time for the respondent and also ensures more accurate data collection (no typos from manual entry) in the event registration form.
