Timesheet Scheduler
Purpose
The timesheet scheduler can be configured to automatically send timesheets for approval, ensuring submission even if employees forget despite reminders. It will collate all time logs for the specified period, generate the timesheet, and submit it for approval at the designated time. If approval settings are not configured, the timesheet will remain in draft status.
Configure Timesheet Scheduler
- From your home page, go to Settings (gear icon) > Timesheet > Automation > Timesheet Scheduler > Add Scheduler.
- Enter the Schedule name and set Frequency.
- Set the Process Data based on the frequency you have chosen.
- Enter the Scheduler Time.
- Set the Billable Status.
- Under Applicable to, select the applicable type based on the options listed in the drop down or you can also select a specific employee.
- Click Save.
The employee will be able to see it under the Timesheet tab (Settings > Leave > Automation > Compensatory Off Scheduler > Add Schedule).
Edit or Delete a Timesheet Scheduler:
- From your home page, go to Settings > Timesheet > Automation > Timesheet Scheduler.
- To edit a scheduler, click the scheduler you want to edit and then make changes.
- To delete a scheduler, hover your mouse over the scheduler and delete icon.
Let us now review the process of configuring schedulers for various scenarios.
Use case 1: Schedule timesheets of the current month to be sent for approval on the last day of every month at 6:00PM.
Follow the configuration as shown in the screenshot below.
Select options under Applicable to based on the needs of your organization.
Use case 2: Schedule timesheets of the previous week to be sent for approval on Monday of every week at 6:00PM.

- Schedulers will be triggered based on the location time zones. For applicable employees who are not mapped to locations or mapped to locations without timezones, the scheduler will be triggered based on the company time zone.
- Options chosen under Applicable to (except Employees) works with AND criteria. Employees option works with OR criteria. For example if HR (department), Manager (Role) , and John (Employee) are selected, the scheduler will apply to all HR Managers or John.
