Create schedule reports to send reports systematically at specific times. Let's look at how to create schedule reports with Zoho Survey.

Use cases

Let's take an example of a chain of super markets, where a survey is sent after every purchase enquiring about the shopping experience. You can collect responses and analyze them with a report. In such cases, you can just schedule your survey report to be sent as an email based on your store's closing time rather than manually accessing it daily. This can help to streamline the analysis. The collected reports will be in real time, and they can choose to get them delivered by email at specific times.

You can generate reports in different file formats, sort responses by newest to oldest, and generate reports in three ways as summary, individual, or both. File formats that are supported for summary reports are PDFs and spreadsheets. For individual reports, you can leverage the file formats namely CSV, SPSS, and spreadsheet.

How to create schedule reports:

  1. Go to the Reports section and choose Actions > Schedule Report > Create.
  1. Give your report a Name and give all the necessary parameters.
  1. Select the required reports as All data or Data acquired within the frequency interval.
  2. Choose the filter for All responses, Today's, Completed, or Partial responses.
  3. Select the report type as Summary or Individual.
  4. If the report type is chosen as Summary, then select the summary report and summary report type. Otherwise, for individual reports, you can select the order of individual responses.
  5. You can also choose the file name format.
  6. Click Next to set up delivery mode for sending reports.
  1. Provide the Recipient's email addresses and click NEXT to schedule your reports.
  1. Set up the frequency as Once, Daily, Weekly, or Monthly.
  2. Provide the start date, and select the days for sending scheduled surveys, along with time slots, intervals, and schedule expiration for your reports.
  3. Click on SAVE to save your report.

How to edit a scheduled report

  1. Click Actions and choose the report that has to be edited from Schedule Reports.
  2. Click the Edit icon to edit your report.
  3. Once you have made the necessary changes, click SAVE.

How to Delete the Scheduled reports

  1. Click Actions and choose the report that has to be deleted from Schedule Reports.
  2. Click the Delete icon.
  3. Proceed with the confirmation prompt to delete your report.
