In this article, we'll see how you can create permalinks for emails and manage their sharing options.
To create a permalink for an email from the email detail view:
Click open the email that you want to share.
Click the More Options icon at the top-right corner of the email detail view.
Select Permalink from the menu list.
Configure the viewing access and other settings.
Click Create.
Click Copy Link to copy the permalink to the clipboard and share it.
Alternatively, you can also:
Select Permalink from the email toolbar.
Configure the viewing access and other settings.
Click Create.
Click Copy Link to copy the permalink to the clipboard and share it.
Note: If you don't find the Permalink option in the email toolbar, click the More Options icon, under which you'll find the option.
When creating the permalink, you can limit who can view the email from the shared link. To do so, under Viewing Options, click the drop-down menu and select the permission of your choice.
Only me: Only the person who has created the permalink can access the email.
Organization members with the link: All the members in your organization can view the email through the shared permalink.
Anyone with the link: Anyone on the internet with access to the permalink can view the email.
Under Other Settings, you have the option to set the permalink expiry date and time, show or hide all email addresses in the conversation, and shorten the URL.
Setting Link Expiry
You can choose to allow the permalink to be active only until a specific duration, after which it will not allow people to view the email. To do so:
Under Other Settings, check the Link expiry option.
Pick the expiry date and time from the available options or set a custom expiry duration.
Showing Email Addresses
By default, only the email sender's and recipient's names will be displayed. To also show their email addresses, enable the Show all email addresses in the conversation option.
Shortening URL
To send a shortened permalink, you can check the Shorten URL option.
To edit the permalink setting:
Click open the email whose permalink you want to edit.
Click the Permalink icon.
Update the changes.
Click Save Changes.
Notes:
Emails for which permalinks are created have an indication at the top-right corner of the email detail view. Clicking on it will open the permalink settings.
The shared permalink will have all the updated changes. You need not share the link again with the users.
To delete a permalink:
Click open the email whose permalink you want to delete.
Select Permalink from the menu list.
Select Delete.
Select Delete again in the confirmation pop-up that appears.
