Google Meet is a video conferencing tool that enables users to have online meetings, share screens, and collaborate in real time. By integrating Google Meet, you can conduct your Zoho Bookings appointments virtually with just a few clicks.
Highlights of this feature:
Automatically creates an online meeting when an appointment is booked
Sends meeting details to staff and customers
Updates meeting details when the appointment is rescheduled/canceled
Requirement:
Google Calendar
To integrate Google Meet, follow the below steps.
Enable Google Meet integration
Choose services to create meeting
To enable Google Meet integration:
1. You must add your Google Calendar under calendar integration.
2. Add appointments to Google Calendar under Add Bookings to section.
Please note that if Google Calendar is connected, it will automatically link Google Meet. You only have to follow step 6 below.
Click Integration in the menu bar.
Choose Video Conferencing in the left pane.
Select Google Meet under Tools Available section.
Click Connect Google Meet. Click Configure Calendar in the following pop-up.
This will redirect to Calendar integration page. Click +Add Calendar, log in to your Google account, and grant permission by selecting Allow.
Choose a Google Calendar in the Add Bookings to section in the same calendar integration page. Click the edit icon against the Add Bookings to section and choose the required Google Calendar.
Navigate to Integrations > Video Conferencing > Google Meet.
Click the Configure tab.
Under the Map services to Google Meet section, click Edit.
Drag and drop the services to the box on the right for which the online meeting need to be created.
Click Save.
Once services are mapped to create Google Meet meeting, an email and in-product notification will be sent to all the assigned staff to connect their Google Calendar accounts.
All staff associated with a service that uses Google Meet must add their Google Calendar to Zoho Bookings. If Google Calendar is integrated, it will automatically link Google Meet.
Staff need to:
Add their Google Calendar under Calendar Connections
Choose a Google Calendar to add their appointments under Add Bookings to section
By default, a meeting join link will be emailed to the staff and customer after the above setup. You can also edit these details of the email message under Services > Service Notifications > For Staff/For Customers > Customize (next to Booked or any option of your choice).
Because Google Meet only has a join link, only Meeting info and Meeting Joinlink variables returns a value in this case.
Navigate to Integration > Video Conferencing.
Click Google Meet and click the more icon in the top-right corner. Select Disable Integration.
This could be due to any of the below reasons. Please check.
If the Google Meet is not integrated correctly.
Solution: Please check if you have added Google Calendar and added appointments to it.
If the service is not mapped.
Solution: Map the services to create meeting link under Configure tab of Google Meet integration.
If the assigned staff has not added their Google Calendar account.
Solution: All the staff assigned for service which uses Google Meet should add their Google Calendar and add appointments to it.
If you have added Google Calendar under Calendar Accounts section
If you have added your appointments to Google Calendar under Add Bookings to section.
