How to set up booths and manage exhibitors in Zoho Backstage

Overview

Efficiently manage exhibitor booths by tracking their assignments, availability, and details. With Zoho Backstage, you can add booths, assign exhibitors, and apply filters to streamline booth management.




Adding a Booth


  1. Click on Exhibitors > Booths from the Dock.
  2. Click the Add Booth button. The Add Booth panel will be displayed.


  3. Select Booth Type:
    1. Choose Single Booth if you want to add an individual booth.
    2. Choose Multiple Booths to add a series of booths.
  4. Enter Required Details:
    1. Booth Number
    2. Exhibitor Category
    3. Booth Dimensions
    4. Quantity (For Multiple Booths)
  5. Click Save to confirm the addition.

Filtering Booths

Easily filter booths based on their availability and assignment status.


  1. Go to Exhibitors > Booths from the Dock.
  2. Open the drop-down next to the search bar.
  3. Use the booth filters:
    1. Available: View unallocated booths
    2. Allotted: View assigned booths
    3. On Hold: View booths marked as on hold
Info
  1. Booths with revoked credits will be marked as Inactive. This applies to booths with exhibitors added.



  2. Booths on hold will be marked as On Hold. This applies to booths that have not yet been assigned to an exhibitor.



Adding an Exhibitor to a Booth


  1. Go to Exhibitors > Booths from the Dock.
  2. Click the Add Exhibitor link in the Exhibitor column for a booth. The Add Exhibitor panel will be displayed.



  3. Enter Exhibitor Details:
    1. Price Paid for the booth
    2. Company Name
    3. Company Website URL
  4. Enter Contact Details: 
    1. Name of the contact person (Mandatory)
    2. Email address of the contact person (Mandatory)
    3. Designation (Optional)
    4. Contact Number (Optional)
  5. Click Choose Logo to upload the exhibitor’s logo.
  6. Click Save to finalize the exhibitor assignment.
Info
Logo Requirements:
  1. File size: Up to 5MB
  2. Optimal dimensions: 200x140px
  3. Supported file types: JPG, JPEG, PNG, GIF, WEBP

Editing an Assigned Booth

If needed, you can reassign an exhibitor to a different booth.


  1. Go to Exhibitors > Booths from the Dock.
  2. Locate the booth currently assigned to the exhibitor.
  3. Click the menu option of the Booth and click Edit. The Edit Booth panel will appear. 



  4. Make the necessary changes.
  5. Click Save to apply the changes.

Notes
  1. You can reassign an exhibitor’s booth by editing their booth assignment details.
  2. Booth filters help you track which booths are assigned, available, or on hold.
  3. Ensure all mandatory fields are completed when adding booths or assigning exhibitors.
