GoToMeeting Integration (via Zoho Flow)

Super Admins and Admins can enable the integration with GotoMeeting via Zoho Flow. Managers & Staff will not have access to this information.
Zoho Bookings allows you to run your business online efficiently by integrating with GoToMeeting via Zoho Flow. GoToMeeting is a software package that enables online real-time collaboration.

Info: This integration requires a Zoho Flow and a GoToMeeting subscription combined.

Creating an online meeting with GoToMeeting via Zoho Flow follows the steps below.
  1. Connect to Zoho Flow
  2. Configure Triggers and Actions with a Connection
  3. Configure the Flow
  4. Book Appointment in Zoho Bookings
  5. View created meeting in GoToMeeting

I. Connect to Zoho Flow

  1. Click Integration on the top right corner and choose Video Conferencing on the left panel.  GoToMeeting shows up under the  Calendars Available section.



  2. Hover over GoToMeeting and click the Try Now button.



  3. You will be directed to Zoho Flow with the GoToMeeting integration selected by default. Click Configure.



II. Configure Triggers and Actions with a Connection

  1. If you do not have an existing connection with Zoho Bookings yet, you will be required to create a new connection. Click Connect.
    Tip: If you already have a connection, please proceed to step 4.
    Info: This is the first of the two connections that you will be creating with this flow. This is to establish communication with Zoho Bookings.



  2. Provide a name for the connection.  All triggers and actions is selected by default.
    Note: By default, the connection would execute on all triggers and all configured actions will be performed. You can also choose only the required triggers and actions.



    Note: The Appointment Booked trigger is mandatory and cannot be unchecked.



  3. A pop up appears asking for acceptance. Click Accept.



  4. The connection is created and is selected by default.
    Note: You may test your connection for correct working by clicking Test. This is optional but good to get it checked upfront.



  5. Click Done.



III. Configure the Flow

  1. The  DateFormat  function is created by default as part of the flow, to extract the start time of the meeting and it is stored in a variable.
    Tip: Most of the configuration required to create a GoToMeeting is already done. So, you can Skip.



  2. The  findEndDateByadding  function is created by default as part of the flow, to extract the end time of the meeting and it is stored in a variable.
    Tip: Most of the configuration required to create a GoToMeeting is already done. So, you can Skip.



  3. Click  Configure to enable meeting creation in GoToMeeting.



  4. You will be presented with a screen to configure a GoToMeeting. If you do not have an existing connection, you will be required to create a new connection. Click  NEW.
    Tip: If you already have a connection, please proceed to step 9.
    Info: This is the second connection you will be creating with this flow. This is to establish communication with GoToMeeting.



  5. Provide a name for the connection.  All triggers and actions is selected by default.
    Note: By default, the connection would execute on all triggers and all configured actions will be performed. You can also choose only the required triggers and actions.



  6. Select  Only specific triggers and actions. Choose the required triggers and actions and then click  AUTHORIZE.
    Note: The Create Meeting action is mandatory and cannot be unchecked.



  7. A pop-up appears asking you to login to your GoToMeeting account.
    Note: This is the GoToMeeting account where the online meeting for the corresponding Zoho Bookings appointment will be created.
    Type the username and click Next.



  8. Type the password and click Sign in.



  9. The connection is created. Review configuration and click Done.
    Tip: You may customize this. But most of the configuration required to create a GoToMeeting is already done.



  10. You can click Done or you can edit as required.



  11. The Flow is configured. You can click Test & Debug and see if the Flow is working.
    Note: The Flow is OFF by default and should be turned on to pickup triggers.

    Note: Testing the Flow is not mandatory but it is good to ensure the working before proceeding with the integration.



  12. Turn the flow ON to enable the Flow to pickup the configured triggers.



IV. Book Appointment in Zoho Bookings

Once the flow is configured, any appointment booked in Zoho Bookings will create a meeting in GoToMeeting. Below is an appointment booked in Zoho Bookings after the flow is configured.



V. View created Meeting in GoToMeeting

A meeting corresponding to the appointment booked in Zoho Bookings is made available in GoToMeeting.
