Meetime for Bigin
Meetime is a remote sales prospecting tool designed specifically for salespeople and sales development representatives. This tool eliminates salespeople's routine operational activities, allowing them to focus solely on pursuing leads and closing deals.
Salespeople can keep their leads synchronized between Meetime and Bigin using the Meetime extension for Bigin. The extension enables salespeople to export leads from Meetime to Bigin via a one-way synchronization. Currently, the extension only exports leads that are marked as "Lead Gain" in Meetime.
Installing the extension
You can either go to the Bigin Marketplace and install the extension or log in to your Bigin account and install from there.
To install the Meetime extension
- Go to Setup > Settings > Integrations > Toppings.
Under All Toppings, you can view all the extensions supported in Bigin. - Click All Toppings, and then browse for and click Meetime.
- Click Install.
- Agree to the terms of service and click Install.
- In the following screen, agree to the terms of service and click Install Now.
- In Users/Profiles, choose one of the following and click Confirm:
- Install for admin only - The extension will only be installed for users with administrator profiles.
- Install for all users - The extension will be installed for all users.
- Choose profiles - The extension will be installed only for the selected users. Choose this option, click Continue, then select the profiles.
The extension will be installed automatically for the specified users. - Click Authorize.
Enter the API key from your Meetime account and click Connect. - Click Authorize.
Click Connect, followed by Accept.
Steps to get your API Key
Follow the steps below to get the API key from your Meetime account:
- Log in to your Meetime account.
- Hover on your profile name in the top-right corner.
- Click Integrations in the dropdown.
- In the following page, choose API and copy the API key.
Configuring the extension
Once the extension is installed and authorized, you need to set up the configuration settings below in the extension in order to facilitate auto-synchronization.
Webhook configuration
To push the Meetime data to Bigin during auto-sync, the required Meetime events need to be configured as webhooks in Meetime. Follow the below steps to register the "Lead Gain" event so that the data from Meetime will be synced with Bigin whenever a "Lead Gain" event occurs in Meetime.
- In the Topping Details page, click Settings.
- Copy the URL from the Webhook Configuration field.
- Go to the Meetime dashboard and choose Integrations from the top-right corner.
- Now choose webhooks and click the plus (+) button to configure the webhook.
- In Events, choose Lead Gain from the drop-down.
- In the Destination URL field, paste the copied URL.
- Click Save.
- Go back to the Webhook Configuration page and click Next.
Setting up deal creation
Once the Meetime webhook is configured, the next step is to configure the pipeline, stage, and due date for deals in Bigin. This will allow you to sync the Meetime data to the configured pipeline and stage of the deal in Bigin.
- In Deal Creation - Setup, choose the required Pipeline from the dropdown list.
- Choose a Stage for the respective pipeline.
- Select a Due Date option from the dropdown. Click Custom to define your own.
The deal closing date will be set in Bigin based on the due date defined. - Click Next to proceed with the configuration.
Field Mapping configuration
The field mapping configuration will enable you to map Meetime fields with fields in the Contacts, Companies, and Deals modules of Bigin. The configured field mapping will be applied during the initial data sync as well as to the configured webhook-based data sync.
- Under Field Mapping Configuration, all the three modules will be listed.
- Choose the fields for both Bigin and Meetime from the dropdown list, per your requirements.
- Mandatory fields will be disabled by default; you won't be able to edit them.
- Click Save.
All the configuration settings will be saved. You can change the settings later based on your requirements.
Initial data synchronization
Once the settings are saved, you'll be asked to import the existing Meetime leads (only once) in the Import Meetime Leads page. Click Import if you want to import your existing leads in Meetime to Bigin, or feel free to skip this step.
All imported leads will be added to the Contacts and Companies modules in Bigin based on the configuration settings.
Note: If you skip this step, you can import the existing Meetime leads anytime later using the same steps explained above.
Synchronizing webhook data
Since we've configured the webhook for the "Lead Gain" event in Meetime, the data from Meetime will be synced to the modules in Bigin whenever the event occurs, and a deal will be created in Bigin for every lead synced. A record will be added to the Contacts and the Companies modules simultaneously. This synchronization happens based on the defined configuration settings.
Uninstalling the extension
To uninstall the extension, follow these steps:
- Navigate to Setup > Settings > Integrations > Toppings.
All the installed extensions will be listed. - Browse for Meetime and click the corresponding Uninstall link.
- Click Ok to confirm and uninstall the extension.
