How to install Zoho Notebook extension in Zoho CRM

To Install Zoho Notebook extension:

1. Navigate to Marketplace > All.

2. Search for Zoho Notebook for Zoho CRM and click on it.

3. Click Install.

4. Verify your details and then click Install.

5. Under the General section, select the profiles, and users you want the extension to be shared with or given access to.

6. Agree to the terms of use.

7. Click Save Changes.

How to navigate and use Zoho Notebook in Zoho CRM

You can create, view, and edit notes from within two sections in the Zoho CRM. Both these sections can be seen in the top bar of your CRM account. Accessing notes inside CRM are divided into the mentioned two sections based on the note functionalities available in them. The below flowchart will guide you on how to navigate through Notebook inside CRM.

Custom Button

• Inside every lead, contact, deal, and account, you will be able to find 'Write Note' button on top right.

• Click on 'Write Note' to create a text card.

• If you need to create other types of notecards, click on the down arrow next to 'Write Note' button and start creating notes.

• Notes that are created through custom button will be automatically associated to the entity(lead, contact, deal, account) under which they are created.

Note: Using custom button you can only create notes. In all the other three options (related lists, page view, and CRM noteboard), you can create, view, and perform other actions to notes.

Related List

Inside every lead, contact, deal, and account, Notebook is available under the related list.

To access Notebook:

1. On the left side of the page, click 'Related list'

2. Click 'Zoho Notebook'

3. You will be able to find Zoho Notebook at the bottom of the page

From here, you can create and perform note related activities.

To create notecards:

1. Click on the down arrow next to the 'Write' button

2. Choose the type of notecard you want to create

3. Start creating notes

To perform note related activities:

1. Click on the notecard, from the list, in which you want to perform the note related activity

2. In the displayed notecard, click on the three dots on the top right

3. Select the activity you want to perform

The list of note related activities is:

Open in Notebook : Open a notecard from CRM within Notebook

Delete : Delete the notecard

Visible to all : Make the notecard visible to everyone in your organization

Make it private : Make the notecard visible only to you

Private share : Share the notecard only to the person you intend to

Mail : Send the notecard as an email

Note activities : View all the activities performed in the notecard

Reminder : Set reminder to the notecard

Color : Choose and change the color of the notecard

Spell check : Check if the words are spelled correctly

My Notes

'My Notes' and 'My CRM Board' have a special page view under 'Zoho Notebook' option available on the top bar.

To access 'My Notes':

1. Go to 'Zoho Notebook' on the top bar

2. If unable to see 'Zoho Notebook', then click on the three dots on the top bar and choose 'Zoho Notebook'

3. You can view all the notes, including the notes created in the Notebook, under 'My Notes' section

To create notecards:

1. Choose the type of notecard you want to create from the top right corner and start writing

To perform note related activities outside note:

1. Hover the cursor on the three dots on top right corner of the notecard

2. Choose the activity that you need to perform from the list of activities

The list of note related activities is:

Open : Enlarge and view the notecard

Open in new tab : Open the notecard in a new tab in Notebook app

Associate : Associate the notecard to any number of leads, contacts, accounts, and deals

Select : Select the notecards and delete them at once

Info : View details about the notecard

Favorite : Mark the notecard as favorite

Lock : Make the notecard not readable by others

Copy to : Create a copy of the notecard

Move to : Move the notecard from current notebook to another notebook

Delete : Remove the notecard

To perform note related activities inside note:

1. Click on the notecard, from the list, in which you want to perform the note related activity

2. In the displayed notecard, click on the three dots on the top right

3. Select the note related activity you want to perform

My CRM Board

To access 'My CRM Board':

1. Go to 'Zoho Notebook' on the top bar

2. If unable to see 'Zoho Notebook', then click on the three dots on the top bar and choose 'Zoho Notebook'

3. Click 'My CRM Board' next to 'My Notes'

4. You can view the exclusive CRM noteboard, containing the notes categorized under the lists lead, contact, deal, and account within which they are created

Note : The lists can be rearranged by dragging them across.

To create notecards:

1. Click on the '+' icon at the top of the list

2. Choose the type of notecard you want to create and start writing

3. You can also search for notecards by clicking on the search icon next to '+' icon

To perform note related activities outside note:

1. Navigate to Marketplace > All.

2. Click Installed.

3. Click Zoho Notebook for Zoho CRM.

4. Click Uninstall.
