If you want to migrate your data from Microsoft OneDrive to Zoho WorkDrive, you can make use of our built-in migration tool.
Plan requirements
1. Microsoft OneDrive
Migration is currently supported for the following Microsoft plans:
- Microsoft 365 Business Basic
- Microsoft 365 Business Standard
- Microsoft 365 Business Premium
- Microsoft 365 (E3, E5, F1, F3, F5)
- Office 365 (E1, E3, E5)
Note: Migration is not supported for OneDrive for Business (Plan 1) and the personal editions of Microsoft 365 Basic, Microsoft 365 Personal, and Microsoft 365 Family.
2. WorkDrive
Important Questions
How can I start the migration?
1. The Super Admin or an Admin of the WorkDrive account has to
raise a request for migration.
2. Once we have the requirements, we will enable the migration tool in their WorkDrive account. The Super Admin or Admins will be able to see the migration tool in their Admin Console; they can start the migration from there.
Note: The Super Admin or an Admin who initiates the migration will become our point of contact for all migration-related activities and issues.
What will happen to my data in OneDrive after migration?
We don't perform any delete operations. All your data in OneDrive will remain intact, even after migration.
Please read What's migrated and Migration Limitations provided below before you proceed with your migration.
What's migrated
- All your files under My Files in OneDrive will be migrated to My Folders in WorkDrive.
- Files' created time and modified time will be retained.
Migration Limitations
- Migration is only supported for plans listed above.
- Migrating your data to WorkDrive is not possible if there are more than 400,000 (4 lakh) folders, including subfolders, per user in your OneDrive account.
- Migration of share permissions (both internal & external) on files and folders is not supported yet. Files and folders under Shared with you will not be migrated.
- Shared Library (SharePoint Library) will not be migrated.
- OneNote files will not be migrated.
- Links will be migrated, but they will not work in WorkDrive, as this feature is yet to be supported. After migration, you can download the links to your computer to open them.
- File size more than 25 GB will not be migrated.
- Items in Recycle bin will not be migrated.
- File versions will not be migrated. Only the latest version of a file will be migrated.
- Last modified user details on files and folders cannot be migrated. We will instead show the created user as the last modified user in WorkDrive.
- Currently, our migration tool does not support the automatic conversion of Microsoft file formats (Word, Excel, PowerPoint) to Zoho native formats (Writer, Sheet, Show). To convert these files, you will need to manually switch them to the Zoho format after migration.
- Migration per user per service can only be done once.
- Any data added to OneDrive post migration cannot be migrated again to Zoho WorkDrive.
- Duplicate entries will not be allowed for migration in both OneDrive and Zoho WorkDrive. In other words, neither data from multiple OneDrive accounts can be migrated to a single WorkDrive account, nor data from a single OneDrive account can be migrated to multiple WorkDrive accounts.
Notes
Microsoft Global Administrators can get access to other users' files (including suspended or deleted users based on data retention period), and they can copy or move the required files to their own OneDrive account. Any data should be moved or copied before you start the migration.
Migration Prerequisites
To initiate the migration process, you'll need to first complete a few actions in OneDrive and WorkDrive.
In OneDrive
Grant admin consent for the Zoho WorkDrive app from Azure Active Directory admin center
- Go to Azure Active Directory admin center.
- Select Enterprise Applications.
- Search for and select the WorkDrive app.
- Select Permissions under the Security section.
- Click Grant admin consent for Zoho WorkDrive.
- Sign in to your Microsoft account and click Accept to grant requested permissions.
Once admin consent is granted from Azure Active Directory admin center, you will be able to import the CSV file and proceed with the migration.
Export members from OneDrive in a CSV file
Only Microsoft Global Administrators can export member data from the Microsoft 365 admin center. The exported users will be used to map OneDrive users with WorkDrive users.
2. Click Users.
3. Select Active users from the dropdown.
4. Click the more actions icon (...) in the top actions bar.
5. Select Export Users, then click Continue.
6. Click Save to download the users in a CSV file.
Update the exported CSV file
After downloading the CSV file, you need to make sure that the file is edited to map the OneDrive users to WorkDrive properly.
1. Open the CSV file exported from OneDrive in a spreadsheet app, such as Zoho Sheet.
2. Copy the Email Address column and paste it in a new column at the end.
3. Name the new column's header " WorkDrive Email Address".
4. Make any necessary changes in the column, such as the change of domain name or user name in the corresponding users' email address field.
5. Save the changes and download the file to your computer in CSV format.
If the email address for a user in WorkDrive is different from their OneDrive account, then make sure the WorkDrive email address is correctly updated, corresponding to its OneDrive email address in the CSV file.
In WorkDrive
Invite OneDrive users to WorkDrive
The Super Admin or Admins in WorkDrive must
invite all or required OneDrive users from the exported OneDrive users or updated OneDrive users list in the CSV file, respectively, to join their WorkDrive account.
1. Go to your WorkDrive account.
2. Click Admin Console in the bottom-left corner of your WorkDrive account.
The Admin Console page will open in a new tab. Dashboard will be selected by default.
3. Click Members in the left panel.
4. Select the + INVITE MEMBERS button in the top-right corner. The Invite new members screen will open.
5. Enter the email address of the user you want to invite.
6. Assign a team role to the user
7. Click INVITE MEMBERS.
- Only active users' data can be migrated into WorkDrive. An active user is the one who has joined a WorkDrive account and is not in an inactive, suspended, or deleted state.
- If you forgot to add any OneDrive users to WorkDrive before the migration, and wish to add them later, you'll need to perform a new migration for those users.
Migration Steps
After you have met the migration prerequisites, you can proceed with your migration by following these steps:
2. Click Admin Console in the bottom-left corner of your WorkDrive account.
The Admin Console page will open in a new tab. Dashboard will be selected by default.
3. Click the Migration tab in the left panel to open the migration screen.
4. Click GET STARTED at the bottom-right corner. A new screen will open.
5. Under Migration Details, select OneDrive as the source provider, then provide a name for the migration.
Check if you have met all the prerequisites given below before you continue.
- Zoho WorkDrive has been given admin permission in Azure Admin directory.
- Export OneDrive users (in CSV format) and update them as required.
- Invite OneDrive users to WorkDrive. All invited users must have joined their WorkDrive team before starting the migration.
6. Click AUTHORIZE.
7. Enter your Microsoft Admin credentials, then grant access to the WorkDrive app. A new migration screen will open.
8. Click Browse to import the required .csv file containing the exported OneDrive users or updated OneDrive Users list.
9. Click CONTINUE. A new screen for user details will open.
The Mapped Users tab will be displayed by default. You can view the list of users from OneDrive and their corresponding WorkDrive user details.
10. Click the Unmapped Users tab to see a list of any unmapped users, along with their reasons.
To map all users, make sure all users from your OneDrive account have joined and are active in WorkDrive .
11. Click PROCEED. A new screen will open.
12. Mark the required checkbox to send email to yourself or to all members once the migration is completed, then click PROCEED.
13. Click START MIGRATION.
You will see the status of migration on your screen as it happens. This includes:
- Which users are being migrated
- Number of files migrated
- Total files
- Size of the migrated files
You cannot individually select and migrate users.
14. Click View report next to a user's migration status. (The report link will appear once their migration is complete.)
The user's report will show you the following:
- Total files
- Migrated files
- Failed files
- Total folders
- Migrated folders
- Failed folders
- Total size
If any files have failed to migrate, they will be listed under Migration Failures. You can view the file name and the reason for failure.
15. Select the required files and click RETRY FAILED FILES. Alternatively, you can manually download these files from OneDrive and upload them to WorkDrive.
Download Migration Report
Once migration is completed for all users, you can download the overall migration report.
Click DOWNLOAD OVERALL REPORT at the top of the page. The migration report will give you a complete log of migration activities.
The migration report will be uploaded to the My Folders of the user (Admin or Super Admin) who initiated the migration. The report will be saved with the name " Migration report for <Migration name>" and shared with all team admins.
Create New Migration
If you have left some users out of this migration, you can create a new migration to migrate those users at any time.
Click Create New Migration at the top-right corner and follow steps 5 to 14 from above. You can switch between migrations you have performed so far by clicking the respective migration names at the top of the page.
For single migration, you must upload the CSV file containing all your users (from exported OneDrive users or updated OneDrive users).
For multiple migrations, you must upload a new CSV file for each migration containing only the required users (from exported OneDrive users or updated OneDrive users).
You can only create a new migration after the successful completion of a previous migration, (i.e., all mapped users must be migrated first to create a new migration).
