Comments allows team members, external collaborators, and client users to provide quick feedback, ask questions, and collaborate on files without switching to external tools.
Select the file you want to comment on and click the More actions icon (...) in the top horizontal bar. Alternatively, you can right-click the file to open the same menu.
- Choose More options from the list, and then select Add Comment..
The file will open in preview mode along with the comment section.

- Enter your comment in the text box. You can also mention a team member by adding @ followed by their name. They'll be notified about that specific comment. You can also use Zia Suggestions to improvise your comment.
- Click Post. Your comment will be added to the file and can be accessed anytime from the file preview.

Note: Comments added to files in WorkDrive are not the same as comments added inside Zoho Writer, Sheet, or Show editors. Comments in WorkDrive do not appear inside the respective editors and vice versa.
Add annotations
Annotations help you apply markup to files by highlighting specific sections, adding contextual notes, and providing targeted feedback. This is especially useful when reviewing PDFs, images, or videos, making collaboration clear and actionable.
For PDF Files
To annotate a PDF:
- Select the PDF file.
- Click the More actions icon (...) in the top horizontal bar, or right-click the file.
- Choose More options, then select Add Comment...
Alternatively, open the file and click the Comment icon from the right vertical pane.

- The PDF opens in preview mode. You can:
- Add a general comment in the comment box.
- Highlight a specific section by drag-selecting a portion of the PDF and adding a comment to that selection.
5. Click Post to save your annotation. Your comment will be added to the PDF.

For Image Files
To annotate an image:
- Select the image file and click the More actions icon (...) on the top horizontal bar, or right-click the file.
- Choose More options, then select Add Comment... Alternatively, open the file and click the Comment icon from the right vertical pane.
- The image will open in preview mode. You can click and drag to select specific areas of the image to add comments to those sections.
Alternatively, if you have already opened the file, click Comment icon from the right vertical pane. - Type your comment in the comment box and click Post. Your comment will be added, annotating the specified sections of the image.

For Video Files
To annotate a video:
- Select the image file and click the More actions icon (...) on the top horizontal bar, or right-click the file.
- Choose More options, then select Add Comment... Alternatively, open the file and click the Comment icon from the right vertical pane.
- The video opens in preview mode with a timeline. Pause the video at the relevant point. To add a time-stamped annotation, click the clock icon in the lower-left corner of the comment box.

- Enter your comment and click Post. The comment will be pinned to that timestamp for easy reference.
- Edit – Hover over your comment, click the three-dot icon, and select Edit.
- Translate to – Click the three-dot icon and select Translate to view the comment in another language.
- Copy link – Click the three-dot icon and choose Copy link to share the comment directly.
- Delete – Click the three-dot icon and select Delete to remove your comment.
To reply to a comment
Click the Reply button below the desired comment, type your message, and click Post.
To resolve a comment
Click the Resolve button on the comment. It will be marked as resolved and hidden from the active thread.
To reopen a resolved comment
Click Show resolved from the dropdown at the top of Comments section , then click Reopen on the comment you want to restore.
