How to manage comments in Writer documents
Overview
Zoho Writer's comments empower seamless collaboration by allowing users to add, reply to, and manage feedback directly in documents. You can:
- Add comments tied to specific text selections for focused discussions.
- Reply or "Like" comments to engage with feedback without clutter.
- Use @mentions to tag collaborators or invite external reviewers—automated email notifications ensure they stay informed.
- Filter comments by author to prioritize and manage feedback efficiently in documents with multiple reviewers.
- Resolve or delete comments—resolving fades the highlight and marks completion, while deleting removes the comment entirely.
Steps
Select the text you want to comment on.
Click Review > Add Comments.
Type your comment in the box and click Add. The comment will appear in the document.
Once addressed, comments can be resolved or deleted. Resolving fades the highlight but keeps the comment, while deleting removes it permanently. To resolve/delete a comment:
- Click the comment you wish to resolve and click Resolve.
- To delete the comment, click the three dot icon > Delete.
- In the Add Comment text box, type @ followed by the collaborator's name to tag a collaborator. The collaborator will be notified via email.
- Choose Review mode and in the comment panel, click User.
- Choose the collaborator's whose comments you wish to see.
- Hover over the comment you wish to follow and click the three dot icon > Follow. You will be notified of any activity to the followed comment via email.
How to enable email notifications
- Click Review > Notification settings.
- Select the checkbox for the type of notification you wish to receive.
Troubleshooting
Problem : 1
Description : Unable to add images (screenshots) to my review comments?
Reason : Adding screenshots in review comment is not available in Writer.
Solution : Image support in review comments will be added in future updates.
Problem : 2
Description : Unable to add comments to the Header & Footer content?
Reason : Writer doesn't allow you to insert comments in the header or footer content. This is because headers and footers are designed to be repeated on each printed page, and comments cannot be repeated.
Problem : 3
Description : I want to stay in “Review” mode without having the comment panel open all the time, so that I can focus on tracking changes while keeping my workspace uncluttered.
Workaround : Switch to "Compose" mode from top band which will automatically hide the comment panel.
Problem : 4
Description : Shortcut for comments not working
Root Cause : The shortcut for comments does not function with certain keyboard layouts. For example, it will not function when using the English India (qwerty) keyboard, as ctrl+alt shortcuts are assigned to entering special characters, thus blocking the shortcuts.
WorkAround : This issue can be resolved by changing the keyboard layout to US (qwerty).
