Tip of the week #8 - Build a transparent workspace for your team



Transparency is important for a team's productivity, but, how easy are we making this transparency for our teams? Do you follow long, tedious, confusing processes to keep team members always updated about the team emails and tasks? Then shared inboxes are for you!
 
Here's how shared inboxes helps team transparency
 
  • Create shared inboxes where every team member can view the entire email thread. You now don't have to CC your peers or email about emails to share information. All your information is right there, accessible to anyone who has permission. Also every team member will be fully aware of the context of every thread.
  • Always know the status of each task and who has picked up what. The Assigned to others view will help you stay updated on the threads assigned to your team members. You will therefore know who to contact straight away with respect to a specific work item.
  • When a new member joins your team, assign them a “Guest” role in shared inboxes so they can only view and comment on threads and cannot reply or perform any other activities at first. They will now be able to learn and understand your processes independently. Change their role and permissions when you think they are ready.
