Earlier you were able to synchronize only the Contacts/Tasks/Events that were owned by you. Now in addition to records owned by you, you have an option to synchronize
all contacts/tasks/events accessible to you in Zoho CRM, with Microsoft Outlook.
For instance, let’s consider the Contacts module. You can choose the type of Contacts you wish to sync with Outlook. Simply put, “All Contacts” refers to contacts that appear under the “All Contacts” view in Zoho CRM. They include,
- Contacts owned by you
- Contacts owned by your subordinates in your Role hierarchy
- Contacts shared to you via data sharing rules
- Contacts shared to you via territories
The same is applicable for tasks and events.
Restrictions on editing records that have been synchronized
A user’s ability to edit a record is based on the profile permission and data sharing rules.
In Outlook, if a user tries to modify a record for which he/she does not have the required profile permission in Zoho CRM, the user will get a
Permission Denied message.
Improved duplicate checks for records during synchronization
Earlier duplicate check at the time of records synchronization was available only for the Contacts module. Now this duplicate check has been improved for Contacts and extended to Tasks and Events as well.
Duplicate check for records at the time of synchronization will be done based on the following factors:
- For Contacts: The duplicate check for Contacts is based on email address. In the absence of the email address, the check will be based on the First Name and the Last Name of the contacts.
- For Tasks: Subject and End Date
- For Events: Subject, Start Date and Time and End Date and Time.
