I'm looking for some advice re mapping CRM to Books.
I initially started using Books, but have now added CRM after subscribing to Zoho One, so I initially set things up based around Books. This is now not working how I need it.
For background, I'm a property manager. I manage property complexes/condos. Each property can have multiple owners, and over time a property may be sold to new owners, and I need to keep track of all previous and the current owners.
I want to use the CRM as the master record, but of course, each contact (property owner) created in the CRM creates a separate account in Books. In Books, I had initially created each account under one persons name and then added additional owners as contact persons - this was to get around a limitation in Books.
My thought is to change the way I work completely, as follows;
In the CRM, create a module called Properties and create a property record for each individual property
Add contacts to each CRM Property record for each owner
Map the CRM property to an account in Books
That would create matching properties in the CRM and Books, but will the contacts copy across from the CRM to Books as contact persons?
This then causes another issue, which is that a customer in Books with multiple properties will not be able to see all their properties in the customer portal, because email addresses cannot be duplicated across accounts in Books. This was the reason I used the contact person as the account name in Books in the first place, adding multiple properties as shipping addresses.
I'm now a little stuck. It doesn't seem that the integration between the CRM and Books can work in my example, as a single owner with multiple properties will not be able to access the invoices for all of their properties in the Books customer portal.
