Tip: #11 Collaboratively fill documents with your colleagues and clients

Last week we talked about how Fillable Fields can help you create contracts and proposal templates you can repurpose across your processes. This week, we'll talk in detail about how to collaboratively fill those templates with your clients and team. 


 
Say you've entered into a contract with multiple clients but the final contract amount is still under negotiation. Using fillable fields, partners can quote their contract fee directly in the template document without affecting other areas of the document. You or the other partners can then accept, reject or renegotiate terms. After the partners have reached a consensus, they can enter the final contract amount into the template document and confirm the contract.
 
Here's how can you can collaboratively fill documents with others:
 
1. Open the fillable NDA template.
 



2. Now go to  More Options > Insert > Fillable Fields.

 

3. Click on Share this document with "Read/Fill" permission.


 

4. Type the names of the collaborators with whom you want to share this document and in the permission tab on the right side, select the  Read/Fill  option.





When the  Read/Fill option is selected, Writer recognizes only the fillable fields as editable fields and allows users to edit only such fields while locking the rest of the document for any edits. 
 

5. This is how the fillable document would like when it's shared with other users with  Read/Fill permission. They can start filling in the details and it will automatically get updated in your system in real-time.


 

6. You can enable Track changes mode to track who has filled what at what time. The Track changes panel on the right will show you the changes made and who has made them. Each user's inputs will be shown in a different color for easy reference. 


 

7. After the document is filled, you can review and confirm user's inputs by accepting them one by one or all at once. 
 
To accept/reject them one by one, click  Accept  or  Reject individually for each change/input made. To accept/reject them all at once, select the three dot option next to Changes and click on  Accept all changes  or Reject all changes.   


 

 8. After you've accepted and confirmed the filled inputs, the document would look like this.


 

Now all you have to do is collect signatures from your partners (Learn more about signature collection  here ) and then you're ready to start doing some serious business!
