Zoho WorkDrive - Le système central de gestion des fichiers de Zoho One
Bonjour à tous,
Dans cet article, nous allons découvrir pourquoi on appelle WorkDrive "un système central de gestion des fichiers". WorkDrive offre à votre équipe un espace de travail partagé et sécurisé pour créer, collaborer, stocker et organiser vos documents.
Pourquoi stocker vos fichiers en ligne
Il y a de nombreuses raisons de stocker vos fichiers en ligne. Certaines d'entre elles sont les suivantes :
La simplicité d’utilisation - Les fichiers enregistrés en ligne vous permettent d’avoir un accès constant depuis n’importe quel appareil, que ce soit votre mobile, votre smartphone ou votre tablette. Synchroniser vos fichiers sur tous les appareils électroniques et les rendre accessibles à n’importe quel moment n’a jamais été aussi simple.
La préservation de vos fichiers - Le gros avantage à utiliser du stockage en ligne pour vos fichiers est la préservation. Lorsque vous devez libérer de la place sur votre téléphone ou votre ordinateur, il vous faut la plupart du temps supprimer des fichiers. Il vous faut absolument utiliser le fournisseur de stockage en ligne pour vos fichiers, les préservant et les sécurisant pour une période illimitée.
La sécurité - Ce serait mentir que de ne pas affirmer que le stockage en ligne augmente considérablement la sécurité dont bénéficie vos fichiers contrairement à quand ils se trouvent sur votre ordinateur ou votre mobile où ils peuvent être détruits par des fichiers ou consultés pas des virus internes. C’est pourquoi utiliser du stockage en ligne pour vos fichiers vous fait bénéficier d’un système de chiffrement et de cryptage qui sécurise totalement vos fichiers sur les différents serveurs du fournisseur.
Au-delà ces fonctionnalités, WorkDrive fournit un espace où vous ne pouvez que stocker vos fichiers mais aussi les créer, les collaborer et les partager au sein ou en dehors de votre organisation.

Dossier d'équipe
Une équipe a besoin d'un espace commun où ses membres peuvent créer, télécharger, modifier et partager des fichiers et des dossiers afin de collaborer efficacement sur des projets complexes. Les dossiers d'équipe répondent à ce besoin en vous aidant à ajouter des personnes spécifiques de votre équipe et à leur attribuer des niveaux d'accès corrects.
Types de dossiers d'équipe
Dossier d'équipe privé - Il vous permet de collaborer sur des tâches spécifiques à un service ou à un projet particulier au sein de votre équipe. Seuls les membres qui ont été ajoutés à un dossier d'équipe privé peuvent accéder à ses fichiers et dossiers. Les administrateurs et les organisateurs d'un dossier d'équipe privé peuvent y ajouter tous les membres nécessaires.
Dossier d'équipe public - Il vous permet de collaborer sur des tâches communes à tous les services ou projets soit au niveau de l'équipe ou de l'organisation. Tous les membres de votre équipe peuvent voir et rejoindre un dossier d'équipe public. Ils peuvent parcourir ses documents, participer à des discussions et apporter une valeur ajoutée.
Gestion des données
Une des fonctionnalités intéressantes de WorkDrive est la gestion de vos documents. Un espace partagé de WorkDrive permet à l'équipe d'accéder à tous les documents à partir d'un seul endroit, ce qui permet de gagner du temps. Zoho Office Suite, une combinaison de trois puissants éditeurs en ligne, vous permet de créer, modifier et partager des documents, des feuilles de calcul et des présentations. Elle offre également la possibilité de collaborer à tout moment, de n'importe où, et est intégrée à Zoho WorkDrive, qui fournit un espace de stockage unifié pour tous vos fichiers de la suite office. Zoho WorkDrive prend également en charge les documents d'autres suites bureautiques, comme MS Word, Excel et Google Docs, ce qui vous permet de travailler plus facilement sur n'importe quel type de fichier.
WorkDrive vous permet également de collaborer avec des membres extérieurs à votre équipe en partageant le fichier et en lui attribuant les accès nécessaires. On peut avoir accès à différentes versions d'un document particulier sans avoir à créer plusieurs copies du même document depuis cette interface.
WorkDrive vous donne une piste d'audit complète pour suivre tout ce qui se passe dans votre dossier d'équipe. Vous pouvez également filtrer les résultats en fonction d'une activité particulière pour obtenir plus d'informations.
Partage externe
Lorsqu'il s'agit de partager des fichiers en dehors de votre organisation, par exemple avec les partenaires, les fournisseurs etc, il est important de conserver un contrôle total sur ces fichiers afin d'éviter la perte de données ou les fuites d'informations. Zoho WorkDrive vous donne la possibilité de créer plusieurs liens pour partager le même fichier ou dossier avec différentes collaborateurs ou groupes externes. Vous pouvez également sécuriser chaque lien avec des autorisations d'accès indépendantes, des mots de passe et des dates d'expiration, et limiter le téléchargement des fichiers par les destinataires.
Analyses avancées
Un aperçu des activités au sein des dossiers d'équipe est important pour suivre les modifications effectuées au niveau d'un fichier ou un dossier. Zoho WorkDrive vous donne une vue rapide des coéquipiers qui ont accès à vos fichiers et à quel moment ils ont eu accès.
