Checking in and checking out attendees on event day - Zoho Backstage

Event Check-in

On event day, keep your check-in activities streamlined by checking in both pre-registered and new attendees instantly. If you have pre-event parties or workshops, you can enable early check-in. You can also know who's present at any time by checking out attendees who leave midway. 

Checking in attendees

Speed up the registration process by checking in the attendees and prospects that show up at your door. Simply enter their ticket ID or email address to add them to your list of checked-in attendees.



  1. Go to Events > Live tab, from your Portal page.
    1. Note : When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-inThe date picker located at the top left corner will show the current date along with the corresponding day number in the event.
  5. Check-in participants who want to attend the event on the current day.
    1. Enter the ticket ID, order ID, name or email address in the search bar on top and lookup for a specific person.
      Note: If you are hosting a multi-day event, attendee check-in is recorded on a day-to-day basis. Checking in an attendee for a specific day will not automatically check them in for all the days of the event as a whole.
  6. Click the Check in button to the right of the attendee's name.

Note: Manage duplicate check ins for attendees at your event by setting this up in the Settings tab under the Ticket tab in the Website Builder.

Enable early check-in for event

Avoid long queues on event day by checking in attendees before the event day starts. When you enable this option for your event, you can check attendees in from the minute your event microsite goes live.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-in
  5. Click  in the top-right corner above the list of attendees.
  6. Select the Enable Early Check-in option from the dropdown.

Note: This option can only be set up before your event begins and cannot be modified after.

Record pre-event walk-ins

Keep track of attendees who arrive on any of the days before the event begins.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-in
  5. Select a date using the date picker that comes before the event day.
  6. Click the Check in button to the right of the attendee's name. The Log Time left side panel appears. 
  7. Update the log time.
  8. Click Save

Note: Ensure that the early check-in option is enabled in order to record pre-event check-ins.

Undo a check-in

Remove a check in entry that was done by error.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-in
  5. Select Checked-in from the list on the left. The list of attendees who have been checked in will be displayed. 
  6. Open the dropdown menu of the attendee you wish to undo the check-in for, then click Undo Check-in.

Note: Check-ins can only be reverted if the attendee hasn't been checked out yet.

Check in prospects

Check in people who registered on the event's microsite but haven't bought a ticket yet.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-in
  5. Click the Check In button to the right of the prospect's name.
  6. Enter the ID of the ticket purchased at the venue.
  7. Select an option for the ticket class.
  8. Confirm the prospect's email address.
  9. Click Check In.

Check in new attendee

Skip the hassle and confusion from unplanned attendee check-ins by checking them in as new attendees on the spot.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-in
  5. Click the Add New Participant link in the top-right corner. The Check-in New Attendee panel appears from the right. 
  6. Select the Ticket ID option in the Ticket type section.
  7. Enter the attendee's ticket ID, ticket class and email address and meal preferences.
  8. Click Check in.

Check out an attendee

Keep track of exactly who is present at your event at any given time by checking out attendees who leave midway. You can also check out the attendees at the end of each event day, and check them in the next day if you have new attendees attending the event every day.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-in
  5. Select the Attended filter in the left.
  6. Click the Check out option in the dropdown menu to the right of the attendees you want to check out.

Log check-in and check out time

Add missed check in or check out times for a previous day. Access pre-event days by using the date picker in the top-left corner in the Event check-in tab.



  1. Go to Events > Live tab, from your Portal page. When the event day has started, your event in the Live tab will be labelled as Running.
  2. Click on the Menu Icon associated with the Event and click on Event Day. You'll be redirected to the Event Day tab of the Website Builder. 
  3. Click the Check In tab.
  4. Click Event Check-inThe date picker located at the top left corner will show the current date along with the corresponding day number in the event.
  5. Select a day before the event.
  6. Select the Add log option in the dropdown menu to the right of the attendee's name. The Add Log panel will appear on the right.
  7. Add the check in or check out time.
  8. Click Save. The log time will be updated against the attendee's name.
    1. To see all logs, open the drop menu of the employee, click View Details > Check-in tab.

Note: Check in logs can only be added pre-event days and can't be done on any event day.
