The Event Check-In feature in the Zoho Backstage Organizer app makes it easy for event organizers to manage attendee check-ins, whether for pre-registered attendees or walk-ins. Through scanning, manual search, or quick entry, organizers can streamline the entry process, keep track of attendee details, and access check-in activity all in one place.
Checking In Attendees
Easily check in attendees directly via the mobile app by entering their ticket ID or email address. This quick process ensures a smooth experience for both organizers and attendees, helping everyone access the event without delays.
- Open the Check-In tab.
- Tap Event Check-In.

For multi-day events, each day’s check-ins are recorded separately. To change this setting, refer to this.
Once you’re on the event check-in page, you can choose from the following check-in methods:
1. By Scanning the Attendee's Badge
- Open the Check-In page.
- Tap Scan QR Code and scan the attendee's badge.
- Tap Check In.

For super fast check-in: Make sure Check-In Options is set to Scan and Check In.
- On iOS: Access Check-In Options through the chocolate menu at the top right.
- On Android: Check-in options are available at the bottom of the screen.
2. By Manually Searching and Checking In
- Open the Check-In tab.
- Use the search bar to search for a attendee.
- Select the attendee to check in and tap Check In at the bottom of the page.
Checking In New Attendees / Registering New Attendees
For attendees who haven’t registered in advance, you can check them in on the event day. This feature is perfect for walk-ins or last-minute arrivals and ensures that no one misses out on the event.
- Open the Check-In tab.
- Tap Event Check-In.
- Tap Add New Attendee.
- Enter the required details and tap Check In.
- If the attendee has paid for the ticket, check the Mark as Paid option.
- In the Mark as Paid popup, choose the payment mode of the attendee.
- Tap Record Payment and Check In.
Checking in an Unpaid Attendee
If an attendee has registered but hasn’t completed their payment, you can still check them in based on your event’s registration settings. Here’s how to proceed:
- Open the Check-In tab.
- Tap Event Check-In.
- Use the search bar to search for an attendee.
- Tap on the attendee you want to check in.
- Tap Mark as Paid, choose a payment mode, then tap Record Payment and Check In.
- If check-in is allowed for unpaid offline orders, tap Check In and Pay Later to check them in without immediate payment.

These steps may vary based on the registration settings configured in backstage.zoho.com.
Checking Out Attendees
The Check-Out feature helps organizers keep accurate attendance records, especially for attendees who may leave midway through the event or at the end of each day.
- Open the Check-In tab.
- Tap Event Check-In.
Once you’re on the event check-in page, you can choose from the following check-out methods:
1. By Scanning the Attendee's Badge
- Tap Scan QR Code.
- Scan the badge of the attendee.
- Tap Check Out.

- On Android: Check-in options are available at the bottom of the screen.
2. By Manually Searching and Checking Out
- Search for the participant using the search bar.
- Select the attendee to check out and tap Check Out at the bottom of the page.
Attendee Details
Access detailed attendee information anytime during the event. The Attendee Details tab provides a comprehensive view of each attendee's data, ensuring organizers have all necessary information on hand.
- Open the Check-In tab.
- Tap Event Check-In.
- Tap the search bar and search using the attendee's name, email, ticket ID, or phone number.
- Tap the attendee’s name to view their details in the Attendee Details tab.
Check-In Activity
Track attendance history and monitor check-in activity for individual attendees. The Check-In Activity tab provides a log of all check-ins and check-outs, giving organizers a quick overview of participant engagement throughout the event.
- Open the Check-In tab.
- Tap Event Check-In.
- Search by the attendee’s name, email, ticket ID, or phone number.
- Tap the attendee’s name and go to the Check-In Activity tab.
Editing Attendee Details
Update or correct attendee information as needed. The Edit Attendee Detail option allows organizers to ensure all participant data remains accurate, whether updating contact details or ticket information.
- Open the Check-In tab.
- Tap Event Check-In.
- Search by the attendee’s name, email, ticket ID, or phone number.
- Tap on the attendee’s name to access their details.
- Tap the Edit button at the top-right corner.
- Make the necessary changes.
- Tap Save in the top-right corner.
Event Check-In Settings (Early Access)
Pre-Event Check-In
With pre-event check-in enabled, you can allow attendees to check in before the event starts.
- Open the Check-In tab.
- Tap Event Check-In.
- Tap the Settings button at the bottom of the screen.
- Enable Pre-Event Check-In.
- Tap Change to set the start date.
- Choose the date and tap Done.
- Tap Save.
Multiday Check-In
Allow attendees to check in across multiple event days.
- Open the Check-In tab.
- Tap Event Check-In.
- Tap the Settings button at the bottom of the screen.
- Enable Multiday Check-In.
- Tap Save.
Event Check-Out
Allow attendees to check out when they leave.
- Open the Check-In tab.
- Tap Event Check-In.
- Tap the Settings button at the bottom of the screen.
- Enable Event Check-Out.
- Tap Save.
Using the Kiosk for Check-In and Badge Printing
For a faster, self-service option, the Kiosk Mode enables attendees to check in and print badges independently. This helps reduce wait times and enables a seamless check-in experience.
