Overview
Take control of your portal and its events by customizing settings, inviting team members, and organizing event-related communication. You can also move your events to your own domain for enhanced branding and access control.
Renaming a Portal
Your portal name helps organize and categorize events effectively. You can rename your portal at any time to better reflect the nature of your events.
- Navigate to Portal Settings > General from the Portal page.
- Modify the Portal Name and Organization name as needed.
- The Portal Name is used in the sign-in OTP emails sent through Zoho Backstage for the event website.
- The Organization name is displayed on the event listing page, helping attendees identify the organizer.
- Only portal owners or users with portal-level admin access can rename a portal.
- Changes take effect immediately.
Viewing the Event Listing Page for the Portal
The event listing page displays all events in your portal and is accessible publicly.
- Navigate to Portal Settings > Branding > Subdomain tab from the Portal page.
Click the domain URL under the Domain text box.
- This URL takes you to your organization's event listing page.
- The event listing page is a public page viewable by anyone with the URL.
- To display an event on this page, ensure the Portal Event-Listing Page option is selected under Event Visibility Settings in the Design tab of the Website Builder.
The event listing page is a paid feature available based on your subscription plan
Setting Up the Portal's Landing Page
Customize your portal's landing page by adding a logo and favicon to enhance branding. This page lists all events in the portal and is accessible to attendees.
Steps to Add a Logo:
- Navigate to Portal Settings > General from the Portal page.
- In the Manage Portal Logo and Favicon section, click Upload under Logo.
Update the logo using the following actions:
- Click Change to modify the logo.
- Click Delete to remove the logo.
Steps to Add a Favicon:
- Navigate to Portal Settings > General from the Portal page.
- In the Manage Portal Logo and Favicon section, click Upload under Favicon.
Update the favicon using the following actions:
- Click Change to modify the favicon.
- Click Delete to remove the favicon.
You can also manage the portal's logo and favicon by going to the Image Settings tab under the Branding > SEO section in Portal Settings.
Inviting Members to the Portal
Onboard your team to share event management responsibilities by adding members.
- Navigate to Portal Settings > Portal Members > Portal Members tab from the Portal page.
- Click Invite Portal Members.
- Enter the email addresses of the invitees, separating them with commas.
- Choose a Role for each member.
Invited members will appear in the Members tab once they accept the invitation sent to their email.
Re-Inviting a Portal Member:
- Navigate to Portal Settings > Portal Members > Portal Members tab.
- Open the dropdown for the invited member and click Re-Invite.
Removing a Portal Member:
- Navigate to Portal Settings > Portal Members > Portal Members tab.
- For Portal Members:
- Click Delete next to the member you wish to remove.
- For Invited Members:
- Click the dropdown menu next to the member you wish to remove.
- Click Delete.
- Confirm the removal by clicking Delete in the dialog box.
- Confirm the removal by clicking OK in the dialog box.
If the member is the sole organizer for any event, you must assign another organizer before removing them.
Switching Between Portals
You can manage multiple portals without signing out of Zoho Backstage by switching between them.
- Click your User Avatar in the top-right corner.
- Scroll down to the workplace section and click the Change icon associated with your portal.
- The Portals page will display all portals you own or are part of.
- Click the portal name to open it.
- Your default portal is labeled Default Portal and will open automatically when you sign in.
- To change the default portal, click the Make as Default button next to the desired portal.
Leaving the Portal / Changing Portal Ownership
If you own a portal, you can leave it by transferring ownership to another admin.
Steps to Leave the Portal:
- Navigate to Portal Settings > Portal Members > Portal Members tab.
- Click the Leave button next to your name.
- Select an admin to assign as the new portal owner in the resulting dialog box.
- Click Assign and Leave.
What Happens Next:
- The nominated admin will receive an email to confirm their new role.
- If accepted, you will be removed from the portal, and the new portal owner will become the organizer for all events you solely managed.
- If the request is not accepted within seven days, you will be reinstated as the portal admin.
- If removed, all events you solely organized will be deleted, and the admin’s role will change to portal owner.
