Advanced People Analytics

What is Advanced People Analytics?

Advanced People Analytics offers in-depth, tailored reports that surpass basic pivot tables and charts, providing valuable insights into organizational trends. This advanced analytics suite empowers users with several key advantages:
  1. Ready-made Reports: Access pre-defined reports for key system modules, including Employee Hiring and Attrition, Employee Growth Rate, and Estimated vs. Logged Hours.
  2. Intuitive Dashboards: Leverage pre-defined dashboards with widgets for a consolidated view of data, facilitating a deeper understanding of organizational trends.
  3. Flexible Reporting: Utilize tabular sections and multi-select data options for enhanced report generation.
  4. Custom Queries: Create highly specific reports using advanced options for writing custom queries directly on the data tables
ATTENTION!
To use Advanced People Analytics, you need a paid or trial plan in Zoho People and at least a basic paid plan in Zoho Analytics.

Setting Up Advanced People Analytics

Follow these steps to configure advanced people analytics:
  1. Navigate to Settings (gear icon, top-right corner)
  2. Select Marketplace
  3. Select Zoho
  4. In the Zoho Advanced Analytics card, click "Configure" (or View Details if you are an existing user. If you are accessing this feature from a non-eligible plan, you will be prompted to upgrade. 
  5. The advanced analytics configuration window will now be displayed. Here, all system fields will be pre-selected. You can select to include any custom forms and corresponding fields as necessary.
    Additionally, configure the sync schedule to happen daily or periodically using the options displayed. (If disabled, manual syncing will be required from Zoho Analytics.)  If Daily is chosen, then you need to set the time for it. If Periodic is chosen, select the sync frequency as either every 3 hours, every 6 hours, or every 12 hours. If you wish to allow non-administrators to access the analytics dashboard, enable the corresponding option here; however, do note that in addition to enabling this option, you must access Zoho Analytics and share the dashboard with the respective user for it to be visible.
  6. Click Save Changes.

Now Advanced Analytics is enabled, and the window will reflect the sync details. Super Administrators will have access to Edit Configuration or Access Zoho Analytics
from here using the provided link and button.

NOTE
Zoho People Advanced Analytics does not include support for the Performance service.

Accessing Advanced People Analytics Reports

To access advanced analytics reports, click on the Reports pie chart icon on the bottom left corner (1) and click Advanced Analytics (2).
In addition to viewing your dashboards, you can also quickly search for or pin dashboards under corresponding sections. To navigate and view Zoho Analytics, use the button on the bottom left corner of the screen.


Available Default Dashboards

Under Dashboards, you will find various types of dashboards. (Reports > Advanced Analytics > All Dashboards)
  1. Employee Dashboard: This dashboard gives statistics and reports based on employee data.
  2. Employee Hiring and Attrition Dashboard: This dashboard gives hiring and attrition analytics.

  3. Tasks Dashboard: This dashboard generates analytics based on task data.
  4. Time Tracking Dashboard: This dashboard generates reports from Time Tracker data
NOTE
Zoho Analytics is only visible to the database owner (workspace administrator) and anyone that reports have been shared with.

Accessing Zoho People Data and Creating Reports

You can see various reports based on the data synced or create custom reports by accessing Advanced Analytics. Follow the steps below to learn how you can view reports or create custom reports:
  1. Navigate to Reports
  2. Go to the Advanced Analytics tab and click on the Access Zoho Analytics button
  3. Go to the Reports
    tab and click on any report from the available list.
  4. To create a custom report, click on the + Create New Reports button.


  5. Select a type for the report you are creating.
  6. Select the base table using the provided drop-down.



  7. The create report view will now be displayed; select or drag and drop columns as required. You can also enter a name, apply filters, color, and more. Once you have configured the graph, click on the Click Here to Generate Graph button to view your custom report. Finally, click Save.


Granting Permission, Managing Workspace Admins and Sharing Reports

The database owner in Zoho Analytics can use the Share option to share database views with others. Additionally, Workspace administrators can also be managed from here. Workspace Administrators can be granted access to the entire database. The added workspace administrators can create reports. However, they cannot edit the pre-selected configurations.



NOTE
Permissions configured in Zoho People are not applicable in Zoho Analytics.

Ask Zia 

What is Ask Zia?
Ask Zia is a search-driven analytical assistant that helps you create reports instantly. You can ask questions in natural language and Ask Zia generates the most relevant reports as answers to you.

How to use Ask Zia?
Navigate to the Ask Zia tab available in Zoho Advanced Analytics and start asking your questions!, its that simple. For example: 
How many sick leaves were taken in the last quarter by department? or
Which employees received the highest performance ratings in the last review cycle?

Attendance Reports available in Zoho Analytics and How They Work

The following reports are available in Advanced Analytics integration for Zoho People
  1. Attendance summary report
    The attendance summary report gives detailed information about the total number of payable days, worked days, expected working days, weekend days, and much more in detail for all users. This report is handy for HR and management staff to calculate payable days for salary.
  1. Attendance user report
    The attendance user report represents an hour-by-hour break-up of an employee's time spent during working hours. You can see the hours they have worked, payable hours, deviation, permission time, paid break time, and more.
Here is a closer look and some important points to note regarding how these attendance based reports work, let's assume that today's date is February 5th, to understand better:
Attendance Summary Report
Initial Sync (First Sync)
1. Previous Data (Pay Period Employees)
  1. If a pay period has already been processed, the system will sync pay data for all employees from the start of the third month ago until yesterday.
  2. Example:
    Pay period: 26th of one month to 25th of the next month
    Today’s date: February 5, 2025
    The system will sync data for the last three months:
    October 26 – November 25
    November 26 – December 25
    December 26 – January 25
2. Previous Data (Non-Pay Period Employees)
  1. For employees without a pay period or if no pay period is configured, the system will sync the last three months of data.
  2. Example:
    Today’s date: February 5, 2025
    The system will sync attendance data for:
    November 1 – November 30
    December 1 – December 31
    January 1 – January 31
NOTE
  1. If a pay period is configured but only one month of data is processed, only that month’s data will be available for employees in that pay period.
  2. Non-pay period employees will still receive three months of data.
  3. Example:
    If only January 2025 has been processed:
    Pay period employees receive January 2025 data only.
    Non-pay period employees receive November 2024 – January 2025 data.
3. Current Data (Pay Period Employees)
  1. The system syncs data from the start of the current pay period until yesterday.
  2. Example:
    Current pay period: January 26, 2025 – February 25, 2025
    Today’s date: February 5, 2025
    The system will sync data from January 26 – February 4, 2025.
4. Current Data (Non-Pay Period Employees)
  1. The system syncs data from the 1st of the current month until yesterday.
    Example:
    Today’s date: February 5, 2025
    The system will sync data from February 1 – February 4, 2025.
Subsequent Syncs (After Initial Sync)
1. For Pay Period Employees
  1. Previous Pay Cycle: After processing a pay period, the system syncs all data for that previous pay period.
  2. Current Pay Cycle: Syncs data from the start of the current pay period until yesterday.
  3. Examples:

    Case 1:
    Pay period started January 26, 2025
    Today’s date: February 5, 2025
    The system syncs January 26 – February 4, 2025.

    Case 2:
    Today’s date: January 26, 2025 (start of a new pay period)
    The system syncs data for the previous pay period (December 26, 2024 – January 25, 2025).

    Case 3:
    Yesterday (February 4, 2025) was the processing day
    Today’s sync (February 5, 2025) includes:
    Current period: January 26 – February 4, 2025
    Previous period: December 26, 2024 – January 25, 2025
2. For Non-Pay Period Employees
  1. Previous Month’s Data: After 5 days into a new month, the system syncs data for the previous month.
  2. Current Month’s Data: Syncs data from the 1st of the current month until yesterday.
    Examples:

    Case 1:
    Today’s date: February 5, 2025
    The system syncs February 1 – February 4, 2025.

    Case 2:
    Tomorrow (February 6, 2025)
    The system syncs:
    February 1 – February 5, 2025 (current month)
    January 1 – January 31, 2025 (previous month)

    Case 3:
    Today is the 1st of the month (February 1, 2025)
    The system syncs January 1 – January 31, 2025.
Possibility of Data Overlap:
  1. When report settings are edited or deleted
  2. If a pay period is removed, overlapping data may occur.
    Example:
    Pay period: January 26 – February 25, 2025
    Report setting is deleted on February 10, 2025
    Already synced: January 26 – February 9, 2025
    Next sync (after deletion): February 1 – February 10, 2025
    Overlap occurs from: February 1 – February 9, 2025
Attendance User Report:
Initial Sync (First Sync)
  1. What gets synced?
    Attendance data from the last 6 months plus the current month up until yesterday.
  2. Example:
    Today’s date: February 5, 2025
    The sync will include attendance data from August 1, 2024 (6 months ago) to February 4, 2025 (yesterday).
Subsequent Syncs (After Initial Sync)
  1. Start Date: 30 days before the last sync date.
  2. End Date: Yesterday.
  3. Additional Data: Any changes made in the attendance data from 60 days before the start date will also be synced.
  4. Example:
    Today’s date: February 5, 2025
    Last sync was on January 15, 2025
    The next sync will include:
    Data from December 16, 2024 to January 14, 2025
    Plus any changes between October 16, 2024 and December 15, 2024
NOTE
If the last sync was more than 2 months ago, only the last 3 months of data will be synced.
Example:
Last sync was on November 5, 2024
The system will sync data from November 1, 2024 to February 4, 2025 (3 months until yesterday).
ATTENDANCE REPORTS SYNC FREQUENCY
Sync occurs only once following the first request of the day, based on the company's time zone settings. Subsequent requests within the same day will return an empty response.
